Generating Proofs of Email Assets in Eloqua

NOTE The functionality described in this section is currently in Beta. For more information about the beta, including how to enroll, see "Oracle Eloqua Workfront Proof Add-In Beta."

The Oracle Eloqua Workfront Proof Add-In enables you to generate proofs for emails you create within Eloqua. You can create new proofs, new versions of existing proofs, and view the status of proofs you submit, without leaving the Eloqua interface. Workfront Proof users can then review the proof within Workfront Proof.

Connecting to Workfront Proof within Eloqua

  1. In Eloqua, click Assets, then click Emails.
  2. Select an email you want to proof.
  3. Click the Cloud icon, located on the right-hand side of the page.

  4. Click the Workfront integration.
  5. Specify your Workfront Proof login credentials, then click Login.

Generating a New Proof or a New Version of an Existing Proof

  1. In Eloqua, click Assets, then click Emails.
  2. Select the email you want to proof.
  3. Click the Cloud icon, located on the right-hand side of the page.

  4. Click the Workfront integration.
  5. If a proof has not previously been created for this email, click Generate New Proof to create a new proof.
    The New Proof page is displayed.
    Or
    If a proof has already been created for this email, click Add Version to create a new version of the existing proof.
    The New Version page is displayed.

  6. Specify a name for the proof.
    By default, the name of the email is used.
  7. In the Workflow section, specify the following information:
    Basic: Select this option if the proof requires only a basic workflow (a single-stage review by one or more individuals).
    This option is selected by default.
    For proofs that require approval from multiple groups or individuals across multiple workflow stages, select the option to use an Automated workflow.
    Automated: Select this option if the proof requires a more complex workflow (requires a multi-stage review, because one reviewer's approval is contingent upon another reviewer's approval).
    When this option is selected, select a pre-configured workflow template from the Workflow template drop-down menu.
    Workflow templates can be created only within the stand-alone Workfront Proof application, as described in "Automated Workflow."
    Recipients: Specify the name or email address of each reviewer you want to include.
    If you selected Automated in the Workflow section, repeat this process for each stage in the workflow.
    Require only one decision for this stage: (Available only when using an automated workflow) When this option is selected, the review is completed after one of the decision makers makes their decision.
    Set proof deadline: Select the date and time when the review of the proof must be complete.
    For more information about deadlines, see "Setting Deadlines for a Proof."
  8. In the Email alerts section, specify the following information:
    Notify recipients by email: Select this option to send email notifications to the users you specify. Email notifications are sent according to the selection you made in the Email alerts drop-down menu. 
    If you choose to notify the reviewers, this is logged in the Activity section of the Proof details page.
    If the Creator or Owner of the proof has Proof made emails disabled by default (in their Personal settings), users do not receive any Proof made or New proof emails even if the Notify people by email box is checked on the New proof page.
    Add custom message: Select this option to specify a custom message to include with the email notification.
    You can save a template Subject and Message within Proofing defaults in your Personal settings. If you have saved a template, it appears automatically in the New proof page.
  9. In the Organization section, specify the following information:
    Add to folder: Select the existing folder where you want to create your proof. (To create a new folder, you must access the Workfront Proof stand-alone application.)
    If you created the proof from the Folder details page, the folder is selected by default.
    For more information about folders, see "Managing Folder Items."
    If you add the proof to a shared folder, the number of users the folder is shared with is displayed. Click See the list to view the users who have access to the folder.
    Tag proof: Select any tags to add to your proof.
  10. In the Proof settings section, select from the following options:
    Require only one decision for this proof: (Available only when using a basic workflow) When this option is selected, the review is completed after one of the decision makers makes their decision.
    Lock proof when all required decisions are made: When this setting is enabled, the proof state is locked after all decisions have been made. The state is automatically changed from Unlocked to Locked when the final approver makes their decision.
    This option is disabled by default.
    Subscribe to proof via public URL or embed code: When this option is selected, the proof can be shared via a public URL or embed code.
  11. Click Save

Viewing Proof Status

You can view the status of each version of a proof within the Oracle Eloqua Workfront Proof Add-In.

To view proof status in the Oracle Eloqua Workfront Proof Add-In:

  1. In Eloqua, click Assets, then click Emails.
  2. Select the email that contains the proof whose status you want to view.
  3. Click the Cloud icon, located on the right-hand side of the page.

  4. Click the Workfront Proof integration.[! What is it called?]
    The status of the proof is displayed in the Status field for each version of the proof.

Viewing Proof Progress

 You can view the progress of each version of a proof within the Oracle Eloqua Workfront Proof Add-In.

For more detailed information about the various proof progress, see "Understanding Proof Progress" in "Viewing the Progress and Status of a Proof."

To view proof progress in the Oracle Eloqua Workfront Proof Add-In:

  1. In Eloqua, click Assets, then click Emails.
  2. Select the email that contains the proof whose progress you want to view.
  3. Click the Cloud icon, located on the right-hand side of the page.

  4. Click the Workfront Proof integration.[! What is it called?]
    The progress of the proof is displayed in the Progress field for each version of the proof.

Viewing a Proof in ProofHQ on the Web

  1. In Eloqua, click Assets, then click Emails.
  2. Select an email that contains the proof you want to view in ProofHQ on the web.
  3. Click the Cloud icon, located on the right-hand side of the page.

  4. Click the Workfront integration.
  5. If a proof has not previously been created for this email, click Generate New Proof to create a new proof.
    The New Proof page is displayed.
    Or
    If a proof has already been created for this email, click Add Version to create a new version of the existing proof.
    The New Version page is displayed.
  6. Click the name of the version you want to view on the web.
