Logging Time in the Workfront Mobile App

Logging Time on a Work Item

You can log time on projects, tasks, or issues in the mobile app. 
For more detailed information about how to use timesheets in Workfront, see "Working with Timesheets."

To log time on a work item:

  1. Navigate to an item you want to log time on. 
  2. Tap the item that you want to log time on.
  3. Tap the Log Time icon in the lower-right of the screen.mobile_android_beta_log_time_on_task.png
  4. Tap Hour or Day Type then select the Hour Type from the drop-down menu.  
    Hour types enable you to assign your logged time to a specific category.
    The first time you log time on an item, your default hour type is used. Next time you log time on this task, the hour type you selected last is used by default.

  5. Tap Hour or Day Type again to close the Hour Type menu.
  6. Tap the date where you want the time to be logged.
    By default, today's date is selected.
    If your system administrator does not allow you to log time in the future, those dates are  unavailable and you cannot log time for those dates.
    You can log time in either hours or days, according to your preference. If you have a Plan license or are a system administrator, you can configure this setting in your profile using the web application. For more information about configuring your preference for logging time, see "Configuring Whether Time Is Logged in Hours or Days."
  7. (Conditional) When you log time in hours:
    1. In the Hours tab, type the number of hours you want to log.
      The Hours tab is selected by default.
    2. Tap to open the Minutes tab, then add minutes to your time.
  8. (Conditional) When you log time in days:
    1. Specify the number of days you want to log for the selected date.

  9. Tap Log Time.

Working with Timesheets

You can use timesheets in the Workfront mobile app to perform the following actions: 

  • Review information about the timesheet (total time, overtime, time frame).
  • Review and edit time logged on tasks, issues, and projects.
  • Log time for tasks, issues, and projects.
  • Log General Hours, which are hours that are not associated with any specific project, task, or issue. 
  • Enter updates on timesheets.
  • Submit timesheets for approval.
  • Approve timesheets.

To access your timesheet area in the bottom navigation bar, ensure that it is enabled in your Settings. For information about enabling areas in the bottom navigation bar, see the "Managing What Areas Display in the Bottom Navigation Bar" section in the article "Accessing Your Profile Information and Configuring Your Mobile App."

 Accessing Your Timesheets in the Workfront Mobile App

  1. (Conditional) Tap the More icon at the bottom of your screen, if the Timesheets area does not display on the bottom navigation bar. 
  2. Tap Timesheets in the bottom navigation bar. 
    A list of all your open, submitted, and rejected timesheets displays.
  3. Tap a timesheet to select it.

    The Hours tab displays by default. You can view the following information in t
    he Hours tab: 
    • Total Time: Total time logged on the timesheet.
    • Overtime: You cannot enter the amount of overtime in the Workfront mobile app. However, you can specify it in the Workfront web application which then displays in the Workfront mobile app. 
    • A listing of all the days included in the timesheet timeframe that have hours logged for tasks, issues, and projects.
  4. Tap the Details tab.

    You can view the following information on the Details tab of the timesheet:
    • Total Time: The number of hours or days logged on the timesheet.
    • Overtime: The number of hours or days manually entered in the Overtime field on the timesheet.
    • Status: The status of the timesheet. You can only see open, submitted and rejected timesheets in the Workfront mobile app.
    • Approvers: If your timesheet has approvers associated with it, you should see their names in this field.
  5. Tap the Updates tab.
  6. Tap Share an update to add new timesheet comments.
    Or
    Tap Add Comment to reply to existing updates.

  7. Tap the Check Mark icon in the upper-right corner of your screen to submit for approval or save and close your timesheet.

Logging Time on Timesheets in the Workfront Mobile App

You can do the following on timesheets in the Workfront mobile app:

  • Review and correct previously logged time on objects. 
  • Log time on projects, tasks, issues, or as General Hours.

Editing Previously Entered Time on Tasks, Issues, and Projects

  1. Tap Timesheets in the bottom navigation bar. 
  2. Tap to select the timesheet for which you want to correct the logged time.
    The Hours tab shows the days that have time logged against them.
  3. Tap to expand the day you want to log time for.

  4. Tap to select the item for which you want to edit the logged time.mobile_edit_timesheet_hours.png
  5. Tap Hour or Day Type, select the Hour Type, then tap Hour or Day Type again.
    You can log time in either hours or days, according to the preference set on your profile. If you have a Plan license or are a system administrator, you can configure this setting in your profile using the web application. For information about configuring your preference for logging time, see "Configuring Whether Time Is Logged in Hours or Days."
  6. (Conditional) When you log time in hours:
    1. In the Hours tab, type the number of hours you want to log.
      The Hours tab is selected by default.
    2. Tap to open the Minutes tab, then add minutes to your time.
  7. (Conditional) When you log time in days: 
    1. Specify the number of days you want to log for the selected date.

  8. Tap Log Time or Done.

Logging Time on Timesheets

Using the Workfront mobile app, you can log time on a timesheet for projects, tasks, issues, or as General Hours. 

To log time on a timesheet:

  1. (Conditional) Tap the More icon at the bottom of your screen, if the Timesheets area does not display on the bottom navigation bar. 
  2. Tap Timesheets
  3. (Optional) To search for items and log time for them:
    1. Tap the Search icon in the upper-right corner of the screen to search for a project, task, or issue where you want to log time.

      The mobile app searches only for names or reference numbers of items that have displayed in the mobile app. You cannot search for items by using key words in the Description, Custom Data fields of those items or any other field.
      If the item you are searching for is not found, tap Search on the keyboard to search the entire Workfront system. 
    2. Tap the item when you can see it in the list to add it to your timesheet. By default, the items you add to your timesheet are pinned to the timesheet and remain on the timesheet until you manually remove the pin.
      IMPORTANT The pin cannot be removed in the Workfront mobile app and must be removed in the Workfront web interface. 
  4. Tap to select the timesheet for which you want to log time.
    The Hours tab shows the days that have time logged against them.
  5. Tap the Log Time icon.

    NOTE You can also access the Log Time icon from the Details tab or from the Updates tab.
  6. To log General Overhead time, tap General Hours.
    General Overhead time is not associated with any project, task, or issue. 
    Or
    Navigate to the appropriate date, by scrolling horizontally on the dates displayed in the timesheet, then tapping the desired date.
  7. Tap the item that you want to log time for under the date when you find it. 
  8. Tap Hour or Day Type and select the correct hour type, then tap Hour or Day Type again.
    The default hour type is General Overhead.

    If your system administrator does not allow you to log time in the future, the days after the current date display as unavailable and you cannot log time for those dates.
    You can log time in either hours or days, according to the preference set in your profile. If you have a Plan license or are a system administrator, you can configure this setting in your profile using the web application. For information about setting this preference in your profile, see "Configuring Whether Time Is Logged in Hours or Days."
  9. (Conditional) When you log time in hours:
    1. The Hours tab is selected by default.
      In the Hours tab, type the number of hours you want to log.
    2. Tap to open the Minutes tab, then add minutes to your time.
  10. (Conditional) When you log time in days: 
    1. Specify the number of days you want to log for the selected date.

  11. Tap Log Time to save your changes.
  12. Tap the Check Mark icon to submit for approval, save, or close the timesheet.
    When a timesheet is marked as Closed, it is not displayed in the Workfront mobile app anymore.
    If the timesheet is associated with an Approver, tapping the Check Mark icon indicates that you submit the timesheet for approval. This turns the status of the timesheet to Submitted, and the timesheet remains in your list of timesheet in the Workfront mobile app until it is approved. Once approved, the status changes to Closed, and the timesheet no longer displays in the mobile app.

Managing Updates on Timesheets in the Workfront Mobile App

To record additional information on your timesheet and communicate timesheet changes to other users, you can add updates to the timesheet. You can enter a new update or add a comment to an existing update using your Workfront mobile app.

Entering a New Timesheet Update

  1. (Conditional) Tap the More icon at the bottom of your screen, if the Timesheets area does not display on the bottom navigation bar. 
  2. Tap Timesheets
  3. Tap a timesheet to select it.
  4. Tap the Updates tab.

  5. Tap Share an update and start typing the update.
  6. Tap Include Others to notify other users of your update or comment.
  7. Select a contact from the list provided and tap Done.
  8. Select the lock in the bottom-right corner to allow viewing only by the users from your company who also have access to see your timesheet.
  9. Tap Send to record the update.

Adding a Comment to an Existing Timesheet Update 

You can reply to an existing update on a timesheet in the Workfront mobile app by adding a comment. 

To add a comment to an existing update:

  1. (Conditional) Tap the More icon at the bottom of your screen, if the Timesheets area does not display on the bottom navigation bar. 
  2. Tap Timesheets
  3. Tap a timesheet to select it.
  4. Tap the Updates tab.
  5. Find an update you want to add a comment to, and tap Add Comment

  6. Tap Include Others to notify other users of your update or comment.
  7. Start typing the name of a user, and select a contact from the list provided.
  8. Tap Done.
  9. Tap the arrow in the bottom-right corner of the update area to record the comment.
    A comment is added to the existing timesheet update. 

Approving Timesheets in the Workfront Mobile App

You can approve timesheets in the Workfront mobile app by following the same steps as for all other approvals.

After you have approved the timesheet, the timesheet status changes to Closed and the timesheet is no longer listed in the Timesheets area for the user. When you reject a timesheet, the timesheet status changes to Rejected, and the timesheet remains in the Timesheets area for the user.
