Logging Time in the Workfront Mobile App

Logging Time on a Work Item

You can log time on tasks or issues you are currently working on.
For more detailed information about how to use timesheets in Workfront, see "Working with Timesheets."

  1. Navigate to an item you want to log time on in your Workfront Mobile App. 
    You can log time to projects, tasks, or issues in the mobile app. 
  2. Tap the item that you want to log time on.

  3. Tap Log Time.
  4. Tap Hour Type, then choose the hour type that you want to use.
    The first time you log hours on a task, your default hour type is used. Next time you log hours on this task, the hour type you selected is used by default.
    (Hour types enable you to assign your hours to a specific category. For more information, see "Hour Types.")
  5. Tap the date where you want the time to be logged, then tap the number of hours and minutes you want to log.
    Or
    Tap more to specify a number, then tap Save.

  6. Tap Close.
    As you log hours, the following information is displayed:
    Total Hours this Week: Total hours you have logged in the current week. Weeks begin on Sunday and end on Saturday.
    Total Hours on Timesheet: Total hours you have logged in your current timesheet. Timesheets can be weekly, bi-weekly, twice a month, or monthly, depending on how the system administrator has configured your timesheet. If you are not using a timesheet, this information is not displayed.

Working with Timesheets

You can use timesheets in the Workfront mobile app to perform the following actions: 

  • Review information about the timesheet (total hours, overtime hours, time frame).
  • Review and edit time on tasks, issues, and projects that already have time logged against them.
  • Log hours for tasks, issues, and projects.
  • Log General Hours. 
  • Enter updates on timesheets.
  • Submit timesheets for approval.
  • Approve timesheets.

 Accessing Your Timesheets in the Workfront App

  1. Navigate to the Workfront home page.
  2. Tap Timesheets.
    A list of all your open, submitted and rejected timesheets displays.
  3. Tap a timesheet to select it.

    The Hours tab displays by default. 
    The Hours tab allows you to view the following information:
    • Total Time: Total hours logged on the timesheet.
    • Overtime: You cannot indicate the amount of overtime hours in the Workfront mobile app. However, you can specify it in the Workfront web application and the specified value of overtime hours then displays in the Workfront mobile app. 
    • A listing of all the days included in the timesheet timeframe that have hours logged for tasks, issues, and projects.
    • New Entry: Log hours on projects, tasks, issues, or as General Hours.

  4. (Optional) Tap the Timesheet tab.

    You can view the following information on the Timesheet tab:
    • The start and end date of the timesheet.
    • Total Time: The number of total hours logged on the timesheet.
    • Overtime: The number of hours manually entered in the Overtime field on the timesheet.
    • Status: The status of the timesheet. You can only see open, submitted and rejected timesheets in the Workfront app.
    • Approvers: If your timesheet has approvers associated with it, you should see their names in this field.
    • View in Browser: Tap the link to display the timesheet in a mobile browser.
    • Save and Close: Tap this to save and mark a timesheet as closed.
    • Submit for Approval: If your timesheet has an approver associated with it, the Save and Close button changes to Submit for Approval. Tap this, to submit your timesheet for approval.
    • New Entry: Log hours on projects, tasks, issues, or as General Hours.

  5. Tap the Updates tab. Here, you can add new timesheet comments or reply to existing ones.
    For more information about managing updates on timesheets, see "Managing Updates on Timesheets in the Workfront App." 
  6. Tap Submit for Approval or Save and Close, when you are ready to submit a timesheet. 

Logging Hours on Timesheets in the Workfront App

You can do the following on timesheets, in the Workfront mobile app:

  • Review and correct hours on objects that have previously had time logged. 
  • Log Hours on projects, tasks, issues, or as General Hours.

Editing Previously Entered Hours on Tasks, Issues, and Projects

  1. Navigate to the Workfront home page.
  2. Tap Timesheets.
  3. Tap to select the timesheet for which you want to log time.
  4. The Hours tab shows the days that have time logged against them.
  5. Tap, to expand the day you want to log time for.
    A list of objects which have hours logged against them should display.

  6. Tap to select the item for which you want to log time.
  7. Use the back and forth arrows around the current date, to navigate the dates in the timesheet, and select the appropriate date.
    If your system administrator does not allow to log time in the future, the days after the current date are grayed out and you cannot log time for those dates.
  8. Tap Hour Type to select the correct hour type, then tap Done.
    The default hour type is General Overhead.

  9. Select the amount of hours and minutes you want to log.
    The minutes are logged in 0.25 increments. 
    If you want to log more than 8 hours, or if you want a value other than an increment of 0.25 for your minutes, tap more.
    Type the value of hours and minutes you want to log.

  10. Tap Close.
    The timesheet displays the total number of hours for the current week, as well as the total number of hours for the timesheet. These numbers include the newly logged hours. 
  11. Tap the back arrow to go back to the timesheet Hours page.
  12. Tap Save and Close when you are ready to close the timesheet. 
    This turns the status of the timesheet to Closed. When a timesheet is marked as Closed, it is not displayed in the Workfront app anymore.
    NOTE If you have an approver associated with the timesheet, tap Submit for Approval.
    This turns the status of the timesheet to Submitted, and the timesheet remains in your list of timesheet in the Workfront app, until it is approved.

Logging Hours on Timesheets

Using the Workfront app, you can log hours on a timesheet for projects, tasks, issues, or as General Hours. 

To log hours on a timesheet:

  1. Navigate to the Workfront home page.
  2. Tap Timesheets.
  3. Tap to select the timesheet for which you want to log time.
  4. The Hours tab shows the days that have time logged against them.
  5. Tap New Entry.
    NOTE You can also access New Entry from the Timesheet tab.

  6. Tap General Overhead, to start logging General Overhead hours. General Overhead hours are not associated with any project, task, or issue. 
    Or
  7. Select an item from the list that displays recently accessed items.
    Or
  8. Using the search box, search for a project, task, or issue where you want to log time.
    The mobile app searches only for names or reference numbers of items. You cannot search for items by using key words in their Description, Custom Data fields, or any other field. 
    If the item you are searching for is not found, tap Search on the keyboard, to search the entire Workfront system. 
  9. Tap the item, when you can see it in the list to add it to your timesheet. By default, the items you add to your timesheet are pinned to the timesheet and will remain on the timesheet until you manually remove the pin.
    NOTE The pin cannot be removed in the Workfront mobile app, and must be removed in the Workfront web interface. 
  10. Use the back and forth arrows around the current date, to navigate the dates in the timesheet, and select the appropriate date.
    If your system administrator does not allow to log time in the future, the days after the current date are grayed out and you cannot log time for those dates.
  11. Tap Hour Type to select the correct hour type, then tap Done.
    The default hour type is General Overhead.

  12. Select the amount of hours and minutes you want to log.

  13. Tap Close.

  14. Tap the back arrow to go back to the timesheet Hours page.
  15. Tap Save and Close when you are ready to close the timesheet. 
    This turns the status of the timesheet to Closed. When a timesheet is marked as Closed, it is not displayed in the Workfront app anymore.
    NOTE If you have an approver associated with the timesheet, tap Submit for Approval.
    This turns the status of the timesheet to Submitted, and the timesheet remains in your list of timesheet in the Workfront app, until it is approved.

Managing Updates on Timesheets in the Workfront App

To record additional information on your timesheet and communicate timesheet changes to other users, you can add updates to the timesheet. You can enter a new update, or add a comment to an existing update using your Workfront app.

Entering a New Timesheet Update

  1. Navigate to the Workfront home page.
  2. Tap Timesheets.
  3. Tap a timesheet to select it.
  4. Tap the Updates tab.

  5. Tap Share an update and start typing the update.
  6. Tap Include Others to notify other users of your update or comment.
  7. Select a contact from the list provided and tap Done.
  8. Select the lock in the bottom-right corner, to make the update private for users from your company who also have access to see your timesheet.
  9. Tap Send to record the update.

Adding a Comment to an Existing Timesheet Update 

You can reply to an existing update on a timesheet in the Workfront app by adding a comment. 

To add a comment to an existing update:

  1. Navigate to the Workfront home page.
  2. Tap Timesheets.
  3. Tap a timesheet to select it.
  4. Tap the Updates tab.
  5. Find an update you want to add a comment to, and tap Add Comment

  6. Tap Include Others to notify other users of your update or comment.
  7. Start typing the name of a user, and select a contact from the list provided.
  8. Tap Done.
  9. Tap the arrow in the bottom-right corner to record the comment.
    A comment is added to the existing timesheet update. 

Approving Timesheets in the Workfront App

You can approve timesheets in the Workfront app by following the same steps as for all other approvals.

After you have approved the timesheet, the timesheet status changes to Closed and the timesheet is no longer listed in the Timesheets area for the user. When you reject a timesheet, the timesheet status changes to Rejected, and the timesheet remains in the Timesheets area for the user.
