Working with Documents in the Workfront Mobile App

Viewing and Opening Documents

You can view documents that are associated with any tasks, issues, or projects in the Workfront mobile app. You cannot view documents that are uploaded to the Documents area of the Global Navigation Bar in the Workfront web application. 

To view documents in the mobile app: 

  1. Navigate to an item that contains the document that you want to view.
  2. Details about the work item are displayed.
  3. Tap the Docs tab.
  4. Tap the document that you want to view.
    A thumbnail of the document also displays.
    The following Document details are displayed in the Document tab:
    • Document Name
    • Name of the item it is attached to
    • Document Description
    • Name of the document Owner
    • Date and time when it was added
    • Size of the document

  5. To view the document, do one of the following:
    • Tap Preview to view a preview of the document.
      Available only for image files (such as .png and .jpg) and PDF files.
    • From Preview, to open the document in a third-party app, tap the More icon, then tap Open With, and tap the name of the application that you want to open the document in. 
  6. (Optional) To add an update to the document, navigate back to the main page of the document, and tap the Updates tab.
  7. (Optional) Tap Share an update to add a new comment to the document
    or 
  8. Tap Add Comment to add a comment to an existing update. 
    For more information about submitting updates in the mobile app, see the "Providing a New Update or Commenting on an Existing Update for a Work Item" section in "Managing Work in the Workfront Mobile App."

Uploading a Document

You can upload documents to projects, tasks, and issues using the Workfront mobile app. 

You cannot upload a document that would be stored in the Documents area of the Workfront web application. 

To upload a document:

  1. Go to a task, issue, or project where you want to upload a document using the Workfront mobile app.
  2. Tap the Attach icon.

  3. On the iOs platform, select from the following options:
    • Take Photo: take a photo using your device. Workfront needs access to your camera.
    • Choose From Library: select a photo already saved in Library. Workfront needs access to your photos.On the iOS platform, select from the following options:

  4. On the Android platform, select from the following options:
    • Take Photo: take a photo using your device. Workfront needs access to your camera.
    • Select File: select a file already saved on your phone. Workfront needs access to your files. 
  5. Tap the file you want to attach by tapping it, Use Photo, or the check mark icon.
    The photo or file is attached to the task, issue, or project that you originally selected. 

Understanding Supported File Formats

Documents of the following file formats can be previewed in the Workfront mobile app:

  • BMP (.bmp)
  • GIF (.gif) (image not animation)
  • JPEG (.jpg)
  • PNG (.png)
  • WebP (.webp)
  • PDF (.pdf)

Other file formats can be downloaded and viewed if you have the relevant programs installed on your mobile device with which you can open them. 

Proofing a Document

If you are a proofing user within Workfront, you can use the Workfront mobile app to generate a proof on a document. You must have the Workfront Proofing app installed on your device to proof a document from Workfront. 

The Workfront Proof mobile app is available for all iOS and Android devices.

The following setup must exist before you can generate a proof for a document from the Workfront mobile app:

  • You must have both a Workfront and a Workfront Proof license.
  • You must have both the Workfront and the Workfront Proof mobile apps installed on your mobile device.
  • You must be logged in with the same user in both applications.
    NOTE If you want to view a proof that has already been generated you do not need a license for Workfront Proof.

To create a proof for a document and open the proof within the Workfront Proof mobile app:

  1. In the Workfront mobile app, navigate to the work item that contains the document that you want to view.
  2. Tap the Docs tab.
  3. Tap the document for which you want to generate a proof or open within the Workfront Proof mobile app.
  4. (Conditional) If a proof has not already been generated for the document, tap the More icon, then tap Generate Proof.
  5. (Conditional) If a proof has already To open the proof within the Workfront Proof mobile app, tap the More icon, then tap Go to Proof.
    This option is available to all Workfront users; you do not need to have a proofing license.

    If you have already downloaded the Workfront Proof mobile app, the Workfront Proof mobile app is launched and the document is displayed.
    If you have not already downloaded the Workfront Proof mobile app, the Apple App Store or Google Play Store is launched and you are prompted to install the Workfront Proof app.
