Using Actions on Comments

If your organization has the Select or Premium plan, you can use actions to keep track of what needs to happen on each comment thread on a proof. An action is simply a word or phrase you select and add to a comment to provide information about what has been done or what still needs to be done in response to the comment.

Your system administrator enables and configures your organization's actions to meet the needs of proof reviewers in your organization.

For example, your reviewers may need actions such as To Do, Done, and In Progress:


Other typical actions include Make Changes, Disregard, and Clarification Needed.

Note that applying an action is different from resolving a comment (see "Resolving a Comment" in "Creating and Managing Proof Comments").

To apply an action to an existing comment in the Proofing Viewer:

  1. Do one of the following:
    • Click the flag icon in the lower-right corner of the comment, then click the action you want in the drop-down menu.
    • Click the More icon (three horizontal dots on the comment), then click the action you want in the lower section of the drop-down menu.
    • The action appears on the comment.
      When reviewers open a comment containing an action, they can see who applied the action and when it was applied.
      If you change your mind, you can click flag icon or the More icon again, then click Remove action.
      TIP You can filter comments by a certain action. For more information, see "Filtering the Comments List" in "Creating and Managing Proof Comments."
