Setting Deadlines for a Proof

When creating a new proof, you can set a deadline to indicate when you want reviewers to finish their work on it or on a certain stage in the proof. For information about creating a proof, see "Creating Proofs in Workfront Proof." For information about stages, see "Understanding Stages."

Setting a Deadline as You Create a Proof

  1. Begin creating a proof, as described in "Creating Proofs in Workfront Proof." 
  2. In the Workflow section of the New proof page, click Set proof deadline.
  3. In the box that appears, select the day and time by which people need to review the proof. 
  4. To save the deadline, click outside the deadline box.

Adding, Editing, or Deleting a Deadline for an Existing Stage

You can add a deadline for an existing stage on the proof.

  1. Go to the Proof details page, as described on "Managing Proofs on the Proof Details Page."
  2. Under Workflow, in the stage where you want a deadline, do either of the following:
    • If you are adding a deadline to the stage for the first time, double-click No deadline, then specify a date and time for the deadline.
    • If you are editing an existing deadline for a stage, double-click the date and time in the upper-right corner of the stage, then specify a date and time for the deadline.
    • If you are deleting an existing deadline for a stage, double-click the date and time in the upper-right corner of the stage, then click Clear at the bottom of the Calendar box that appears.
  3. To save your change, click outside the deadline box.
  4. In the prompt that appears, specify whether you want to send an email alert to reviewers. 

Setting Individual Reviewer Deadlines

You can set different deadlines for different reviewers on the proof. In order to do this, they must be in a separate stage to other people on the proof.

This is done by sharing the proof with them after the proof has been created and selecting a different deadline for them by following these steps:

  1. Go to the Proof details page, as described on "Managing Proofs on the Proof Details Page."
  2. Click Share this version.
  3. In the box that appears, add a contact, group or partner and select their role(s) and email preferences.
  4. Click Set a deadline, then click the box that appears to select a deadline different to any existing deadlines on the proof.
    This gives the user or group their own deadline.
  5. (Optional) Click Send a message if you want to notify people by email and, if so, specify whether you want to Add a custom message.
  6. Click Share

The people you shared the proof with are now listed in their own stage.

Removing Individual Reviewer Deadlines

You can remove a deadline for a particular reviewer on a proof.

  1. Go to the Proof details page, as described on "Managing Proofs on the Proof Details Page."
  2. Click the deadline field for the reviewer.
  3. Click Clear on the calendar that appears.
  4. To save your change, click outside the deadline box.
  5. In the prompt that appears, specify whether you want to send an email alert to reviewers.
