Requesting Document Approvals

Document approvals enable you to request approval from managers or other users around a document in Workfront.

You can request only users to be approvers on a document; you cannot request approval from teams or groups.

You can request approval via the following methods:

Requesting Approval from the Document Details Area

You can request a document approval while providing an update on the document within the Details area of the document. 

  1. Navigate to the Documents area in the Global Navigation Bar, or navigate to the Documents tab within a project, task, or issue.
  2. Mouse over the document for which you want to request approval, then click Details.
  3. On the Updates tab, click in the Update Status field.
  4. Click the Include Others icon.

  5. Begin typing the name of the user who you want to approve the document, then click the name when it appears in the drop-down list.
    You cannot request approval from teams or groups.
  6. Select Ask for approval.
  7. Click Update to send the request.
    All users indicated in the include others field are sent an approval request on the document. 

Requesting Approval from the Documents Tab

  1. Navigate to the Documents area in the Global Navigation Bar, or navigate to the Documents tab within a project, task, or issue.
  2. Select the document for which you want to request approval.
    The Document Details tab provides a visual preview of the document.
  3. The Details tab is the default tab. However, if it is not displayed, click the Details tab located on the left side panel. (This panel can be collapsed as needed.)
  4. Click in the Approvals field.
  5. Begin typing the name of the user or user's email address who you want to approve your document.
    You cannot request approval from teams or groups.
  6. The approver receives a notification that they are requested to approve your document.

Deleting Approval Requests

  1. Hover your cursor over the approver's name and click it.
  2. From the drop-down, click Delete. The approval request is removed and the approver receives a notification that their approval is no longer needed.
  3. The person's approval-related share access is also removed when you delete the request.

Sending Reminders for Approval Requests

  1. To send a reminder to the approver, click Remind from the drop-down menu. The approver receives a notification informing them the approval is still pending. They may also receive an email reminder if they have that enabled.
