Adding Outlook Email Data to Workfront as a New Task or Update

NOTE The information on this page refers to the locally installed, Microsoft Office Outlook application. We are in the process of deprecating this functionality, and we recommend that you use the Outlook 365 Add-In instead. For information about how to use the Workfront Add-In for Outlook 365, see "Using Workfront with Outlook 365."

You can quickly add information from an email to Workfront.

You can either convert an email into a task in your My Work area, or you can update an existing project, task, or issue with information from an email.

Converting an Email to a Task in My Work Area

You can convert emails to Workfront tasks. After an email is converted, the task is available in your My Work area within Workfront.

  1. Select the email that you want to convert to a task in your My Work area.
  2. Right-click the email, then click Workfront > Add E-mail to My Work.
    Or
    On the Home tab, click Workfront in the ribbon, then click Add Selected E-mail to My Work.

  3. You can update the following information from the email before it is saved as a task:
    Task Name: By default, the task name is the same as the email Subject. You can modify the task name as desired.
    Description: By default, the description is the same as the email Body. You can modify the description as desired.
    Attachments: Any email attachments are saved to the Documents area of the task. You can delete any attachments before saving the email as a task.
  4. Click Add.
  5. (Optional) Click View Details to view the task with the Workfront integration within Outlook.

Updating an Existing Item from an Email

You can update an existing project, task, or issue with information from an email.

  1. Select the email that contains the information that you want to include in the update. 
  2. Right-click the email, then click Workfront > Update in Workfront from E-mail.

    On the Home tab, click Workfront in the ribbon, then click Update in Workfront from Selected E-mail.
    The Update in Workfront pane is displayed on the right side of the Outlook client:
  3. You can update the following information from the email before it is saved as a task:
    Search: Click in the Search field and select the project, task, or issue that you want to update from the list of recent items. Or, begin typing the name of the project, task, or issue that you want to update.
    Update: By default, the update is the same as the email Body. You can modify the update as desired. 
    This update is displayed as the update status in Workfront.
    Include others on this update: Begin typing the names of an individual user or team who you want to be notified about this update, then select the name when it appears in the drop-down list. 
    Repeat this process to include multiple users and teams.
    Attachments: Any email attachments are saved to the Documents area of the task. You can delete any attachments before submitting the update.
  4. Click Update.
  5. (Optional) Click View Details to view the updated item with the Workfront integration within Outlook.
