Using In-App Notifications

In-app notifications are available both from the web application and the mobile application. 

In-app notifications keep you informed about the following types of activities:

  • Activities regarding your work​
  • Announcements from the system administrator

You receive notifications regarding various work activities, as well as when you receive an announcement message from the system administrator.

Notifications for Work Activities

The following sections describe the various types of work activities that trigger notifications, as well as how to view and manage your notifications.

Understanding What Type of Work Activity Triggers a Notification

Consider the following regarding notification activity: 

  • You can view all in-app notifications both from the web application and the mobile application. Only some of these notifications are sent as push notifications in the mobile application. For more information about notification in the mobile app, see "Viewing Notifications in the Workfront Mobile App."
  • In-app notifications for work activities are not tied to email notifications in Workfront. For more information about configuring email notifications, see "Configuring Email Notifications."

NOTE Actions that trigger an in-app notification cannot be customized.

In-app notifications for work activities are displayed for the following actions:

Approvals:
You need to approve a project
You need to approve a task
You need to approve an issue
You need to approve a document ​
You need to approve a timesheet 
You need to approve access to an object. Objects include projects, tasks, issues, documents, reports, dashboards, portfolios, programs, and calendars. 
Your timesheet is approved 
Your timesheet is rejected
Your timesheet is re-opened 
An approver comments on your timesheet
A document approval request that you requested is completed
A document approval request that you requested is approved
A document approval request that you requested is rejected
After receiving a document approval request, the request is canceled
<User name> wants you to approve this proof. If the user information is not available, the notification changes to “This proof requires your approval."

Requests:
You are requested to upload a document 
A document upload request that you requested is fulfilled 
Someone replies to your request 
A comment is posted on your request
After receiving a document upload request, the request is canceled
Someone requests permission from you to access an object (such as a project, task, report, template, and so forth) 

Assignments:
You are assigned to a task
You are assigned to an issue

NOTE Assignment notifications are sent only when the project status is set to Current (or to a custom status that is the equivalent of Current).

It is not intended for Requestors and Reviewers to be assigned work. Therefore, they will not be notified if they are assigned to tasks and issues. 

Comments:
Someone comments on a thread you are in 
An update is made to a task, issue or project I am subscribed to
Someone comments on one of your work items 
Someone 'Likes' your comment
Someone comments on your timesheet
A comment is added on your user profile page or by bulk editing multiple users 
A comment is added on one of your updates
A comment is added on your timesheet

Updates:
Someone includes you on a directed update 
Someone includes your team on a directed update
Someone 'Likes' your update

Date Changes:
The due date changes on an issue you are assigned to 
The due date changes on a task you are assigned to 
The commit date changes for an issue on one of your projects 
The commit date changes for a task on one of your projects 

Share:
A document is shared with you
A document is shared with your team
A document proof is shared with you

Other:
A message is sent to the Announcement Center (Message is sent from Workfront to the system administrator)
A message is sent from the system administrator via the Announcement Center
An error was found that needs your attention

Viewing Work Item Notifications

Viewing Notifications in the Web Application

In-app notifications for work items are displayed in the upper-right corner of the Workfront interface, next to your user profile picture.

To view your current work item notifications:

  1. Click the numbered icon in the upper-right corner of the Workfront interface. This number represents the number of notifications that you have not yet acknowledged.
    Depending on the types of messages available, the color of the notification bubble varies: 
    • The notification bubble is blue when you have unread announcement messages. You might also have other unread notifications in addition to unread announcement messages.

    • The notification bubble is orange when there are no announcement messages but you have other unread notifications.
    • The notification bubble is gray when there are no announcement messages or notifications.
  2. (Conditional) To view all notifications, click the Notifications heading, or click View All Notifications.

    The Notifications area is displayed.

    On the initial page up to 50 notification messages display. To view older notification messages, scroll to the bottom of the page and click Show More.

  3. In the Notifications area, click a notification that you want to view. 

    You are taken directly to the message in the update stream on the object. The Comment area is open so you can begin typing your reply immediately.

Viewing Notifications in the Mobile Application

Managing Work Item Notifications

After viewing notifications for work items within Workfront (as described in "Viewing Work Item Notifications"), you can clear the notifications from the Notifications menu or leave them to respond to later.

You can view current and cleared notifications in the Notification Center. You can even mark notifications as Unread in the Notification Center to bring them back to the Notifications dialog box.

Acknowledging Notifications For Work Items

Clicking the Notifications menu does not automatically acknowledge all notifications. This allows you to view your notifications and come back to them at a later time.

To acknowledge a notification (and thus clear it from the Notifications menu), do any of the following:

  • Click the work item from the notification to navigate to the item
  • Click the blue dot next to the notification
  • Click Mark all as seen (this clears all notifications from the Notifications dialog box)

Viewing Acknowledged Notifications For Work Items

To view notifications that you have already acknowledged:

  1. Click Notifications in the upper-left of the Notifications window.
    or
    Click View All Notifications in the lower-right of the Notifications window.
    The Notifications page is displayed.
  2. Scroll down to view your past notifications.
  3. (Optional) To bring a notification back to the Notifications menu, click the blue circle next to the notification.

Deleting Notifications

You cannot delete items in the Notifications area. All notifications (whether they are Read or Unread) are automatically deleted after 30 days.

Notifications For Announcement Messages

The system administrator can send messages to Workfront users. Messages from the system administrator are displayed in the upper-right corner of the Workfront interface in the notification bubble.

The following section describes how to view and manage your announcement notifications.

Viewing Announcement Notifications

In-app notifications for announcement messages are displayed in the upper-right corner of the Workfront interface in the notification bubble, next to your user profile picture. 

To view your current announcement message notifications:

  1. Click the numbered icon in the upper-right corner of the Workfront interface. 
    This number represents the number of notifications that you have not yet acknowledged.
    Depending on the types of messages available, the color of the notification bubble varies: 
    • The notification bubble is blue when you have unread announcement messages. You might also have other unread notifications in addition to unread announcement messages.
    • The notification bubble is orange when there are no announcement messages but you have other unread notifications.
    • The notification bubble is gray when there are no announcement messages or notifications.
  2. In the Announcements area, click a notification that you want to view.
    Or
    To view all notifications, click the Announcements heading, or click View All Announcements.

    The Announcements area is displayed.
  3. Continue with "Managing Announcement Notifications."

Acknowledging Notifications For Announcement Messages

Clicking the Notifications menu does not automatically acknowledge all notifications. This allows you to view your notifications and come back to them at a later time.

To acknowledge a notification (and thus clear it from the Notifications menu):

  1. Click the Notification icon in the upper-right corner of the Workfront interface.
  2. Click Announcements or View All Announcements.
    The Announcements page is displayed.
  3. In the Announcements area, select the announcement message that you want to view.
    Or
    Click the blue dot next to the announcement message to mark it as Read.

Viewing Acknowledged Notifications For Announcement Messages

To view announcements that you have already acknowledged:

  1. Click the Notification icon in the upper-right corner of the Workfront interface.
  2. Click Announcements or View All Announcements.
    The Announcements page is displayed.
  3. Scroll down to view your past notifications.
  4. (Optional) To bring a notification back to the Notifications menu, click the blue circle next to the notification.

Marking Announcement Messages As Favorites

  1. Click the Notification icon in the upper-right corner of the Workfront interface.
  2. Click Announcements or View All Announcements.
    The Announcements page is displayed.
  3. Click the Star icon next to the announcement message that you want to mark as a favorite.
    The message is now available in the Favorites area.

To view messages that have been marked as a Favorite:

  1. On the Announcements page, click Favorites.

Deleting Announcement Messages

Announcement messages that you delete are saved in the 'Deleted' area for 30 days. After the 30-day period, they are no longer available.

To access an announcement message that you deleted within the past 30 days:

  1. Click the Notification icon in the upper-right corner of the Workfront interface.
  2. Click Announcements or View All Announcements.
    The Announcements page is displayed.
  3. Click Deleted.
  4. Select the message that you want to view.
  5. (Optional) To undelete the announcement message, click Move to Inbox.
