Configuring Email Notifications

The highlighted information on this page refers to functionality not yet generally available. It is available only in the Preview Sandbox environment.

There are several email notifications you can receive from Workfront. For a complete list of what email notifications you can receive from Workfront, see the "Email Notifications" section in "Understanding Workfront Notifications."

The only email notifications that you can configure yourself in Workfront are Event Notifications. This article covers information about how you can configure your own email notifications for Event Notifications. 

Your system administrator determines which Email Notifications (also known as Event Notifications) you are subscribed to by default (as described in "Enabling and Disabling Event Notifications"). You can unsubscribe from these default email notifications as described in "Modifying Email Notifications Settings."

Modifying Your Email Notification Settings

Workfront allows you to choose whether you want to receive notifications as events happen, or if you want to receive events summarized in one daily digest email.

For a complete list of all notifications areas, see "Notification Descriptions."

To view and modify your email notification settings:

  1. Click your profile picture in the upper-right corner of the Global Navigation Bar.
  2. Click My Settings.
    The My Settings dialog box is displayed.
  3. Click Notifications.
  4. Expand each category to view notification settings related to that category.

  5. Select any notifications that you want to receive either daily or instantly, or deselect any that you want to stop receiving.
    The following categories of the notification settings have been enabled for daily digest emails:
    • Action Needed
    • Requests I Have Made
    • Communication
    • Approval Information
    • Information about Work Assigned to Me
    • Information about Projects I'm On
    • Information about Projects I Own
    • Information about Projects I Sponsor

    You can select or deselect individual notifications, or you can select or deselect all notifications in a given category by selecting or deselecting the box in the category title.
    You can select the same notification to be delivered both instantly and in the daily digest email, or you can select just one frequency for each notification.


    For the Communication category, you can select individual notifications for instant delivery only. You must select all of the notifications to be delivered in a daily digest.

    If all email notifications for a given category are enabled, the box in the category title appears as selected. If all email notifications in a given category are disabled, the box is unselected. If some notifications are enabled and others are disabled, the category check box appears as a straight line.


    When you modify a notification setting, the label Edited appears for that notification setting, to let you know that that notification setting has been modified.

  6. If you selected notifications to be sent as a daily digest, select the time of the day you want the digest to be delivered at the top of your Notifications section in the Email Daily Digest after drop-down menu.

    All the events that meet the criteria of the notifications 24 hours prior to the selected time are emailed with the daily digest. You receive one daily digest email for each notification area. For more information about what the notification areas are, see "Notification Descriptions."
    The daily digest is delivered sometime after the time you select. The time of the actual delivery depends on how many emails are queued in the system for delivery at that time. The time is listed in your local timezone, as it is stored in your browser settings.
  7. Click Save Changes.

Managing Emails in the Sandbox Environment - keep this section in yellow highlight always

Workfront disables all email communication from both the Preview and the Custom Refresh Sandbox environments. For more information about how to access the Preview Sandbox environment, see "Preview Sandbox Testing Environment." For more information about how to access the Custom Refresh Sandbox environment, see "Custom Refresh Sandbox Testing Environment."

If you want to receive email notifications from the Preview Sandbox environment, you must enable this functionality in your user settings. You can enable email communications for yourself, or for any user that you have access to edit. For more information about the access needed to edit users, see "Understanding User Access."

To enable the delivery of emails from the Preview Sandbox environment:

  1. Click your avatar, in the upper-right corner of your Workfront interface.
    Or
    Search for a user in Workfront, and click their name, then click Edit <User Name>'s Info, in the upper-right corner of their profile page.
    Or
    Navigate to a list of users and select multiple users, then click Edit, to edit them in bulk.
  2. Click Preferences.
  3. Select the Receive emails from this test environment field.
    The following email communication is enabled:
    • Email notifications triggered by event notifications.
    • Reminder notifications.
    • Automatic late or early reminder notifications.
    • Email invitations.
      NOTE Report delivery and push notifications on the mobile app are always disabled for the Preview Sandbox environment. Neither you nor the system administrator can enable report delivery or push notifications for the mobile app when you access the Preview Sandbox environment. For more information about report deliveries, see "Setting Up Report Deliveries." For more information about push notifications on the mobile app, see the "Configuring Push Notifications" section in "Viewing Notifications in the Workfront Mobile App."
  4. Click Save Changes.
    The user receives email notifications from the Preview Sandbox environment.

Modifying Email Notification Settings in Bulk

You must be a system administrator or a user with a Plan license who can edit other users to be able to bulk edit several users at a time and update their notification settings. For more information about the access level needed to edit users, see the "Access Needed to Edit Users" in "Understanding User Access."

Workfront allows you to choose whether you want to allow users to receive notifications as events happen, or if you want to receive events summarized in one daily digest email.

When you update the notification settings of several users in bulk, only the notifications you select to be updated are modified for all the users selected. All other notifications are left intact, even if they are different from user to user.

To modify the email notification settings of several users in bulk:

  1. Navigate to the People area in your Global Navigation Bar.
  2. Select the People tab.
  3. Select the users for whom you want to update the notification settings.
  4. Click Edit.
    The Edit People dialog box opens.
  5. Click Notifications.
  6. Expand each category to view notification settings related to that category.
    If there is at least one user selected where the notifications do not match the notifications of the other selected users, the category check box for that notification appears as a straight line.

    Only the notifications you select are changed for all users. The rest of the notifications remain the same for each user.

    The Email Daily Digest after field should display blank before you set a time for the daily digest delivery.

    After you select a delivery time for the daily digest notifications, the Email Daily Digest after field is highlighted with an orange frame to indicate that the time of the delivery has been edited.
    All the events that meet the criteria of the notifications 24 hours prior to the selected time are emailed with the daily digest.

  9. Click Save Changes.

 

Notification Descriptions
Depending on how the system administrator has configured event notifications for your Workfront system (as described in "Enabling and Disabling Event Notifications"), you might see only a subset of the following notifications.

In case of job role approvals, which users receive an email notification for this event depends on whether the 'Approver not required to be on the project team (for approval processes that include a role)' setting is enabled (as described in "Establishing Approval Settings").

If this option is enabled, an email notification is sent to all users in the system with the job role associated with the approval.

If this option is disabled, only project team members with the job role associated with the approval process receive an email notification.

If the approval is associated with a user, that user receives the notification.

2.The status changes on a task I'm assigned to = Status of the task you are assigned is changed to any status
3.A Task I am assigned to is completed = When somebody closes the task you are assigned to. So you will get only number #3 email if #2 is enabled as well.
I am pretty sure you also get only one of these 3, but it needs to be tested whether it sends the approval email or #2 or #3

An error was found that needs my attention
An email notification is generated after Workfront tries and fails to connect to a POP account. After 25 tries, Workfront disables the connection to the POP account in order to preserve resources and it sends out a notification.

The email notification is sent to the Project Owner, if the POP email is associated with a request queue, or to the system administrators, if the POP account is associated with the "Incoming Mail" feature in Email Setup.

Anna said that Requestors, Reviewers and External users will not get notified ONLY for task/ issue assignments. For everything else, Requestors and Reviewers will get a notification. I have highlighted the ones that were mentioned in error.
