Including Others on Updates

The highlighted information on this page refers to functionality not yet generally available. It is available only in the Preview Sandbox environment.

Updates can be made on several objects in Workfront and other users or teams can be tagged in these updates. 

You can make updates on any object you have access to View.

You can enter updates on:

  • Projects
  • Portfolios
  • Programs
  • Templates
  • Template Tasks
  • Tasks
  • Issues
  • Iterations
  • Users
  • Documents
  • Timesheets

When providing updates on a task, all users on the project team can see the information submitted. However, there may be times when a user who is not on the project would benefit from viewing comments. Rather than including the users on the project team, the comment can be shared with them from the update itself. 

Users must have the proper email notifications enabled by the system administrator, as well as in their user profiles in order to receive the notifications. For details on how to enable notifications, see "Configuring Email Notifications."

To include others on an update:

  1. Begin updating a work item, as described in "Updating Work." 
  2. Click the Include others on this update icon.
  3. In the provided field, begin typing the name of a user or team who you want to include in the update, then click the name when it appears in the drop-down list.
    This user will receive an email notification of the update. The user can then view the comment in Workfront and respond to the update. 

    Or

    Type the @ symbol in the update field, begin typing the name of the user who you want to include on the update, then click the name when it appears in the drop-down list.


    NOTE In the Preview Environment, the update streams of the following objects do not support using the @ symbol in the update field to include others on the update:
    • Project
    • Task
    • Issue
    • Timesheet
    When making an update on these objects, you must use the Include others in this update icon to add users to the update.

  4. Click Update.
    Multiple users can be tagged in a message. All users shown in the Include others in this update field will receive a copy of the message in an email notification as well as an in-app notification.
