Administrators: Send Announcement Messages to Users

Workfront now allows system administrators to send announcement messages to users. Administrators can send announcement messages to individual users, groups, teams, or companies.

There is now a single notification bubble for system administrators. Prior to this change, there was a notification bubble for work notifications, and a notification bubble for announcement messages sent from Workfront.

View Announcement Messages Sent from the System Administrator

Users can view announcement messages sent from the system administrator by clicking the notification bubble in the upper-right corner of the page. Users can then access the Announcements area to view any messages.

Improved Experience with Custom Forms When Attaching a Template

Now when you add a template to a project, and both the project and template contain the same required custom fields, the required fields in the template are automatically populated with the data that exists in the project.

Prior to this change, an error occurred while attempting to attach the template.

Improved Documents Area: Upload Improvements

All Workfront users will see the following enhancements when uploading documents to Workfront:

  • Improved look and feel when adding documents to the Add Documents dialog box via drag-and-drop (the entire dialog box is highlighted when dragging).

    For information about how to add documents to Workfront, including how to add documents by dragging into the Add Documents dialog box, see "Adding New Documents" in "Adding Documents to Workfront."

Advanced Document Management (ADM) customers will see the following enhancements when uploading documents to Workfront:

  • Upload to Workfront up to 2 times faster

  • Fixed issue with document uploads timing out

    Previously, documents that were over 250MB could time out and fail to upload, depending on the user's internet connection.

Delegate Approvals

You can configure approvals to be delegated to another user for a specified period of time.

Timeline Recalculations Are Saved Independently from Project Actions

When recalculating timelines, Workfront now saves additional project data and project actions independently from the timeline dates. The following actions are now saved independently:

  • Replying to an assignment

  • Moving tasks

  • Copying tasks

  • Marking a task as Done (or Undone)

  • Changing assignments

As a result, before the timeline recalculation is finished, some planned or projected dates might display as a question mark.  This means that the recalculation is not yet finished, and the dates are subject to change.

Predecessor Icon Is Displayed Next to Tasks on the Gantt Chart

A 'Predecessor' icon is displayed next to any task that has a predecessor relationship that spans multiple pages on the Gantt chart.

You can click the icon to view all predecessor and successor tasks, as well as other details.

Drag-and-Drop Indicators for Prioritizing Items in the My Work Area 

Items in the My Work area now include drag-and-drop indicators. (You can drag and drop items only when the 'Sorting' drop-down list is set to 'My Priority' and the 'Grouping' drop-down list is set to 'Nothing.')

Prior to this change, you could drag items by clicking anywhere on the item; however, drag-and-drop functionality did not always work as expected.

Improved Documents Area: Advanced Proofing Options during Proof Creation

The following advanced proofing options are now available when creating proofs at the time that documents are uploaded to Workfront:

  • Generate proofs for public-facing websites

    For more information, see "Generating a Proof on a New Document or Website" in "Creating a New Proof." 

  • Add an Automated Workflow to a proof

    For more information, see "Adding and Managing Automated Workflows for Proofs."

  • Share a proof

    Prior to this change, you could share a proof only after it had been created.

    When you share a proof with a user who does not have proofing enabled in Workfront, and the proof is using an Automated Workflow, a new stage is created within the Automated Workflow. The user who you are sharing with is automatically added to this new stage when they view the proof for the first time.

  • Configure access and subscription settings for a proof 

    Settings include: requiring an electronic signature for proofs, requiring users to log in, allowing users to subscribe to the proof, and more.

Improved Documents Area: Advanced Proofing Options on Existing Proofs

The following advanced proofing options are now available after proofs are generated within Workfront:

  • Share a proof

    When you share a proof with a user who does not have proofing enabled in Workfront, and the proof is using an Automated Workflow, a new stage is created within the Automated Workflow. The user who you are sharing with is automatically added to this new stage when they view the proof for the first time.

  • Configure access and subscription settings for a proof 

    Settings include: requiring an electronic signature for proofs, requiring users to log in, allowing users to subscribe to the proof, and more.

  • View progress and status of the proof on the Details tab of the document

Use the New Gantt Chart in Project Lists and Sub-Task Lists

In addition to displaying the new Gantt chart on task lists, you can now view the new Gantt chart in project and subtask lists.

Improved Agile Burndown Chart

The new agile burndown chart provides the following improvements:

  • Actual burndown rate is displayed in relation to the ideal burndown rate.

  • Select a past day to view the status of the iteration as it was at a prior time. The burndown chart is updated based on the day that is selected.

  • Changes in iteration scope and date range are accurately reflected.

  • Ability to set a team schedule (define days off for the team) which is then reflected in the burndown chart.

  • More information detailing the iteration completion status, such as number of completed stories, number of completed hours or points, points per day, and estimated completion date.

  • Percent Complete of the iteration adjusts based on the Percent Complete of each story within the iteration.

Export any Report or Dashboard when Using the Kick-Starts Exporter

The Kick-Starts exporter now allows you to choose from all reports and dashboards in your system when exporting. You can export up to 100 reports and 100 dashboards simultaneously.

Previously, the Kick-Starts exporter allowed you to choose only from an arbitrary sub-set of the reports and dashboards in your system.

Direct Access to Request Queue Forms outside of Workfront

You can now make request queue forms more readily available to users by providing direct access outside of Workfront.

You can provide a direct link to users, or embed the form in an iframe on any HTML page.

Send a Direct Message to Another User

You can now more easily send messages that are unrelated to work items to other Workfront users. Messages appear in the Updates tab on the user's home page.

Ability to Create Sub-Groups and Add Group Owners

 

Workfront now supports sub-groups. You can create a new group as a sub-group to an existing group, or you can make an existing group a sub-group to another existing group. 

Sub-groups can be up to 3 levels deep. For example, you can have Group 1, Sub-group 2 as a child of Group 1, and Sub-group 3 as a child of Sub-group 2.

A new column was added to Workfront reporting called 'Group Owners.'

NOTE:This functionality will be initially available on in late January 2016 only within the Preview Sandbox. 

Multiple Custom Forms: Control Access to Custom Forms 

 

You can now control who has access to a custom form by granting access to individual users, teams, roles, groups, or companies.

Prior to this change, you could grant access only to groups.

NOTE:This functionality will be initially available on in late January 2016 only within the Preview Sandbox.

Thumbnails Are Displayed When Linking Documents from a Third-Party Application

(Available to Workfront DAM customers only)

When linking documents to Workfront from a third-party application, document thumbnails are now displayed for documents. This is especially useful for image files, because you can more easily see what files you are linking.

NOTE: This functionality is available only to Workfront DAM customers. Workfront DAM customers are able to view thumbnails when linking documents from any third-party application, such as Dropbox, Box, and Google Drive. However, thumbnails are never displayed when linking documents from SharePoint.

Improved Documents Area

The Documents area contains the following improvements:

  • Improved method for adding documents (Add Documents dialog box)

    Includes the ability to add multiple documents from different sources (such as from the file system on your workstation or from a third-party application), and view and manage those documents before uploading to Workfront.

  • Link existing documents from Workfront to a third-party application directly from the documents list

    Previously, you had to first navigate to the documentation details page.

  • Improved preview window for viewing documents

  • Clicking a document name now opens the document

    Previously, it opened the document details page. (The document details page is still available by clicking the 'Details' link below the document name.)

  • Updated folder icons

Improved Documents Area (Continued): Link Folders between Workfront and Third-Party Document Providers

You can now link folders between Workfront and a third-party document provider. (Previously, you could link only individual documents.)

Outlook: Multiple Custom Forms Are Displayed When Creating Requests

When creating a request from the Outlook client, all custom forms that have been added to the request are available to use.

Prior to this change, only the main custom form appeared when creating a request from the Outlook client.

Workfront Mobile App Beta

The new Workfront mobile app beta is currently available. The app has been redesigned from the ground up and has an improved look and feel.

Preview Sandbox

The Preview Sandbox (PrS) is available to all system administrators and any other users as defined by the system administrator. (For more information about the Preview Sandbox, see "Preview Sandbox Testing Environment.") The Preview Sandbox provides an opportunity for users in your organization to view production data in a testing environment. Beginning in January, 2016, the Preview Sandbox is updated at the time that functionality is first made available either to Early Access or General Availability. (Prior to this change, functionality was typically available in the Preview Sandbox 2 weeks before it was released to either Early Access or General Availability.)

Early Access

The Early Access (EA) environment is available to all system administrators and any other users as defined by the system administrator. (For information about how to configure Early Access settings, see "Configuring System Preferences.") This is the first opportunity users in your organization have to review a feature before it is made generally available. 

* Indicates a lengthened EA release cycle in order to provide you with more time to become familiar with the feature.

General Availability

General Availability (GA) is when features are available to all Workfront users. Neither system administrators nor users can opt out of features in General Availability. Most features made generally available were previously available in the Early Access environment.

Agile Burndown

The new agile burndown chart is coming to Early Access on January 23, 2016, and will be made generally available in February.

NOTE: The dates mentioned in this video are no longer accurate. This functionality will be released on the dates shown above.

The ability for system administrators to send messages to their users via the announcements area will be made generally available on January 23, 2016.
