Integration with Adobe Experience Manager (AEM)

Workfront now integrates with the Adobe Experience Manager (AEM). The AEM/Workfront Integration allows for greater efficiency because it allows you to link folders and assets that can be shared between both applications. Workfront’s integration with AEM helps designers to efficiently maintain a centralized asset repository that is easily accessible and searchable, without having to toggle between the applications. This helps designers to stay productive and responsive to Agile marketing efforts.

Send Announcement Messages to All Users Simultaneously

System administrators can now send announcement messages to all users simultaneously. (When creating a new announcement message, 'Everyone' is populated in the 'Send to' field by default.)

Prior to this change, administrators could send announcement messages only to individual users, groups, teams, or companies.

Hide Options within a Drop-Down Menu on a Custom Form

You can now hide choices on multi-select and drop-down fields on custom forms. This allows you to retain information on a custom form you have already created without having to unshare the form or create a new one.

Localized Languages Are Displayed in the Proofing Viewer within Workfront

The proofing viewer within Workfront now supports most languages that are supported throughout the Workfront application. 

Prior to this change, the proofing viewer was displayed only in English, regardless of the language of the rest of the Workfront application.

When viewing Workfront in a language that is not supported in the proofing tool, the proofing viewer displays in English.

Users Are Deleted in the Background When Deleting Many Users Simultaneously

Depending on the number of users you are deleting, the process to fully delete users can take a few minutes or even a few hours. After receiving the confirmation in Workfront that the users were deleted, you might continue to see the deleted users in your system until the background process of deleting the users is complete.

Prior to this change, when deleting a large number of users, the process could time out.

Notifications for Project, Task, and Issue Approvals

Workfront now provides in-app notifications when you are requested to approve a project, task, or issue.

Prior to this change, you received only email notifications for all approval requests. For document and timesheet approval requests, you received in-app notifications for approval requests only when a user requested you to approve a document or timesheet.

Notifications for Access Approvals

Workfront now provides in-app notifications when you are requested to approve access to an object. 

Prior to this change, notifications for access approvals were sent only via email.

Changes to When Reminder Notifications Are Sent

The option to configure reminder notifications to be sent on an hourly basis was removed. All reminder notifications that are currently configured to send reminder notifications on an hourly basis were changed to be sent on a daily basis.

Prior to this change, you could configure reminder notifications to be sent on an hourly or daily basis.

Manage API Keys for Your Workfront System

System administrators can now manage the API keys that are used to enable third-party applications to access the Workfront system.

You can reset or remove the administrator API key, remove the API keys for all users, and configure API keys to expire.

Prior to this change, you could only view the administrator API key and API keys never expired.

Integration with Adobe Creative Cloud

The Workfront Extension for Adobe Creative Cloud is designed to allow you to save and export assets you create in the Creative Cloud to Workfront, thereby speeding up the approval and review process.

Add a Report to a Dashboard directly from the Report

You can add a report to a new dashboard or add it to an existing dashboard from the Report Actions drop-down menu.

Changes to How Email Notification Preferences Are Displayed in 'My Settings'

The options for configuring email notifications in 'My Settings' are now available in a new 'Notifications' section. Options are grouped according to function for easier navigation.

Prior to this change, email notification options were in a drop-down field within the 'Preferences' section.

This change also applies when bulk editing multiple users.

Add a Descriptive Text Field to a Custom Form

A new field type called Descriptive Text has been added to allow the addition of text that an end-user can see on a form. 

A hyperlink field has also been added to enable users to include a link on the custom data form. You can attach this descriptive field to any custom form and it is visible to any user who can access the form.

This custom form can also be added as a link or description on a column view.

Updated Teams View

The look and feel of the 'Teams' tab in the 'People' area has been updated. 

  • The left sidebar has been removed.

    Users can still use the drop-down list to view other teams and create new teams.

  • User avatars are displayed in a horizontal view rather than a list view. User names are displayed when hovering over the avatar.

  • The option to add a request to a team via the team page was moved to the Team Actions drop-down menu. Prior to this change, the option was displayed below the team name.

Updated Agile Story Board

The updated agile story board contains the following improvements:

Reorder Columns in Any List with Drag-and-Drop

You can change the order of columns in any list by dragging a column from one location and dropping it in another.

This is especially useful when viewing the Gantt chart and the list view simultaneously and the column that you want to view is not displayed on the left side of the page.

Outlook: Combined View for Tracking Meeting Notes and Meeting Time in Workfront

The options to log meeting time and notes to Workfront for an Outlook calendar item are now combined into a single view. 

Prior to this change, in order to log meeting time and notes to Workfront for an Outlook calendar item required you to perform two separate actions.

Outlook: Options for Tracking Meeting Data in Workfront Open in the Right Pane

Now when you add data to Workfront from Outlook, the options for adding data are displayed in a pane on the right side of the Outlook client. 

Prior to this change, options for adding data were opened in a new window.

Ability to Create Sub-Groups and Add Group Owners

 

Workfront now supports sub-groups. You can create a new group as a sub-group to an existing group, or you can make an existing group a sub-group to another existing group. 

Sub-groups can be up to 3 levels deep. For example, you can have Group 1, Sub-group 2 as a child of Group 1, and Sub-group 3 as a child of Sub-group 2.

A new column was added to Workfront reporting called 'Group Owners.'

Multiple Custom Forms: Control Access to Custom Forms 

 

You can now control who has access to a custom form by granting access to individual users, teams, roles, groups, or companies.

Prior to this change, you could grant access only to groups.

Workfront Mobile App Beta

The new Workfront mobile app beta is currently available. The app has been redesigned from the ground up and has an improved look and feel.

Improved Documents Area: Advanced Proofing Options during Proof Creation

The following advanced proofing options are now available when creating proofs at the time that documents are uploaded to Workfront:

NOTE: These features are available only to customers who meet the following criteria:

  • Has stand-alone access to ProofHQ with an Unlimited license

  • Not an OEM customer (Must have access to ProofHQ outside of an OEM agreement)

Improved Documents Area: Advanced Proofing Options on Existing Proofs

The following advanced proofing options are now available after proofs are generated within Workfront:

  • Share a proof

    When you share a proof with a user who does not have proofing enabled in Workfront, and the proof is using an Automated Workflow, a new stage is created within the Automated Workflow. The user who you are sharing with is automatically added to this new stage when they view the proof for the first time.

  • Configure access and subscription settings for a proof 

    Settings include: requiring an electronic signature for proofs, requiring users to log in, allowing users to subscribe to the proof, and more.

  • View progress and status of the proof on the Details tab of the document

    For more information, see "Viewing the Progress and Status of a Proof."

Preview Sandbox

The Preview Sandbox (PrS) is available to all system administrators and any other users as defined by the system administrator. (For more information about the Preview Sandbox, see "Preview Sandbox Testing Environment.") This is the first opportunity that users in your organization have to review a feature before it is made available to Early Access environments and then made generally available.

Early Access

The Early Access (EA) environment is available to all system administrators and any other users as defined by the system administrator. (For information about how to configure Early Access settings, see "Configuring System Preferences.") Most features made available in Early Access were previously available in the Preview Sandbox.

* Indicates a lengthened EA release cycle in order to provide you with more time to become familiar with the feature.

General Availability

General Availability (GA) is when features are available to all Workfront users. Neither system administrators nor users can opt out of features in General Availability. Most features made generally available were previously available in the Preview Sandbox and Early Access environments.
