Now when accessing the Notifications area, you are prompted to enable or disable push notifications that are sent from the Workfront app. 

 

Prior to this change, push notifications were enabled by default and you had to navigate to the app settings to disable them.

Add Resource Managers to Multiple Projects Simultaneously

Now you can designate Resource Managers for multiple projects simultaneously.

 

Prior to this change, you could designate Resource Managers only for a single project at a time.

Updated Email Notifications

Email notification messages you receive informing you about certain activity from Workfront are in the process of being updated.

 

The following email notification messages were updated this release (for more information about each of these options, see "Notification Descriptions" in "Configuring Email Notifications"):

  • You are set as the sponsor of a project
  • Documents are uploaded or changed on requests you are assigned to
  • A document is changed or uploaded on an issue for which you are the primary contact 
  • A document is added to a project you sponsor
  • A document is added to a project you own
  • A document is added to a project you are on

 

The notification email has been updated with a new look and feel and now includes the following additional information:

  • Object name where the document was uploaded
  • Name of the user who uploaded the document
  • Document name, size, version, and extension
  • Thumbnail of document
  • Link to download the document
  • Reference number
  • Project name
  • Assignee
  • Linked portfolio name
  • Planned Completion Date
  • Issue name
  • Primary contact
  • Name of user who made the request
  • Entry date
  • Issue priority
  • Issue status
  • Issue type
  • Issue description
  • Attachments (with thumbnail preview)
  • Assignment

  

The following email notification messages were updated in previous releases:

  • You are set as the Project Owner of a project

API Enhancement: Manage User Assignments across Multiple Projects

NOTE This functionality is available only when leveraging API 6, which is currently in beta. 

 

You can now use API 6 to manage user assignments across one or more projects. 

 

Prior to this change, the only way to manage user assignments across one or more projects was using the resourcing Swap tool, as described in "Managing User Assignments." (And only users who had been designated as Resource Managers on a given project could manage user assignments for that project.) You can now leverage this same functionality via the API.

 

The following capabilities are now available in API 6:

 

  • Assign users to projects
  • Swap one user assignment for another
  • Unassign users from projects

Feature Deprecation: Check-In, Check-Out of Documents

The ability to check-in and check-out documents is being removed from the Workfront application.

 

NOTE Any documents that are checked out at the time the feature is deprecated will be checked back in.

 

If you were using the Check-In, Check-Out functionality previously available in Workfront, consider the following alternatives:

 

  • Modify access permissions on the document to restrict access to View access. Users who have only View access can view the document and download it, but they cannot upload a new version (and therefore cannot make any changes).
    For information about how to modify access permissions on a document, see "Sharing Permissions on Objects."
  • If you are linking documents from a third-party application (as described in "Linking Documents between Workfront and a Third-Party Application"), you can leverage similar functionality provided by the third-party document provider. Third-party document providers that integrate with Workfront often provide the same or similar capabilities natively within their applications, allowing you to control who has access to documents and for how long. These configuration options are maintained in Workfront when configured within the third-party application.

Display Prompt Selections after the Report Is Run  

Now when viewing a report, you can display the prompt selections that were chosen at the time the report was run.

 

Prior to this change, you could display only the filters that were chosen at the time the report was run.

Display Additional Values When Selecting a Date Field in a Prompt or Filter  

When you select a date field (such as Actual Completion Date, Last Update Date, Estimated Start Date, and so forth) either when filling out a prompt prior to running a report, or when adding a filter to a report, the following additional options are now available:

  • This Year: The current year (from Jan 1) to the current date
  • Past Year: The past 12 months from the current date
  • Last Year: The previous calendar year, from Jan 1 to Dec 31

 

Other options that were previously available include: This Week, This Month, Past Week, Past Month, Last Week, Last Month, and so forth.

Specify Whether to Include Links in Excel Documents  

Now when you are configuring report deliveries, you can specify whether to include links in Excel documents. When a document includes more than 65,530 links, the document cannot be opened.

 

Prior to this change, links were always included in report deliveries for Excel documents.

Views Section No Longer in the Team Settings  

The Views section has been removed from the Team Settings dialog box. The Layout Template field has been moved to the Basic Info section of the Team Settings dialog box. 

 

The Working On and Requests fields have been removed from the application because they are no longer applicable. (For the past several months, "Layout Template" has been the only option available in these fields. For more information, see "My Work and Team Views Are Changing.")

 

For information about how to select a layout template, see "Configuring the Layout Template for a Team" in "Configuring Layout Templates for My Work and Teams."

"Linking Documents between Workfront and a Third-Party Application." (This has to do with the change to how the third-party document service appears in Workfront story, which I'm not documenting here because it's an issue fix. Need to update this article, though.)

Deletion Process Runs in the Foreground When Deleting a Single User  

Now when you delete a single user in Workfront, the deletion process runs in the foreground. You can continue to use the Workfront application only after the deletion process is complete. (When deleting multiple users simultaneously, the deletion process runs in the background; this functionality has not been changed.)

 

Prior to this change, the deletion process would run in the background even when deleting a single user.

Updated Project, Task, and Issue Approvals  

Now creating an approval process is more straightforward, as follows:

    • Multiple approval processes can be associated with a single object.
      Prior to this change, only a single approval processes could be associated with an object.
    • Approval paths have been replaced with multiple approval processes.
      Rather than creating one, complex approval process with multiple approval paths, you now create multiple approval processes and associate them with the same object.
      If you have approval processes with multiple paths, the single process will be divided into multiple processes.
    • You can now have multiple types of approvers per stage.

View and Manage Resourcing Assignments on the Scheduling Timeline

Now you can see all tasks on projects for which you are the Resource Manager, enabling you to be more informed when making scheduling decisions.

 

For general information about the tools available for scheduling resources, see "Viewing Resource Assignments."

 

To adjust the information that is displayed on the scheduling timeline, create a filter, as described in "Filtering Content When Scheduling Resources."

 

In addition to viewing tasks on the projects you are responsible for, you can use the scheduling timeline to make changes to resourcing assignments. For information about how to manage user assignments on the scheduling timeline, see "Managing User Assignments."

Manually Synchronize Data in the Agile Burndown Chart

Now you can manually synchronize data in an agile project or iteration to ensure that data in the burndown chart is accurate.

Project-Specific Hour Types Now Honor Settings Made at the User Level  

Whether project-specific hour types are available for users depends on settings made at the system, project, and user levels.

 

Previously, any selections made at the user level were not honored, and did not affect whether project-specific hour types were displayed. 

 

Hour Types are now shown on a project timesheet only when each hour type is:

 

  • Selected on the project
  • Selected on the user's profile

Prior to this change, project-specific hour types were shown regardless of what was selected at the user level.

Custom Status Group Enhancements

System administrators can now enable Group Owners to manage custom statuses for their groups.

The following improvements were made regarding custom statuses:

 

For System Administrators:

  • Create custom statuses and make them available to specific groups. (Group Owners can then customize the status to fit the needs of their group.)
    Prior to this change, statuses could be created and applied only globally.
  • UI improvements when creating and customizing statuses.

For Users (Group Owners):

  • Create unique custom statuses for the groups they own.
    Prior to this change, only a system administrator could create custom statuses.
  • Customize statuses the system administrator has made available. (The system administrator must configure the status to be customized.)
  • UI improvements when creating and customizing statuses.

Notifications Link Directly to the Message in the Update Stream

Now when you click a notification either from the notification bubble in the Global Navigation Bar or from an email notification, you are taken directly to that message in the update stream on the object.

 

Prior to this change, you were taken to the appropriate object (task or issue), but you had to manually scroll to the specific notification in the update stream.

Hour Entries on the Timesheet Have a Consistent GUID  

Now when you change the hour type for a timesheet entry, the GUID remains the same. This makes reporting on timesheet entries consistent.

 

Prior to this change, any time you changed the hour type on an hour entry, the GUID for that entry would be changed.

Reorder Columns in Any List with Drag-and-Drop

You can change the order of columns in any list by dragging a column from one location and dropping it in another.

 

This is especially useful when viewing the Gantt chart and the list view simultaneously and the column that you want to view is not displayed on the left side of the page.

Control Access to Custom Forms [! i6?]  

You can now control who has access to a custom form by granting access to individual users, teams, roles, groups, or companies.

 

Prior to this change, you could grant access only to groups.
