Updated Email Notifications

Email notification messages you receive informing you about certain activity from Workfront are in the process of being updated.

 

The following email notification messages were updated this release (for more information about each of these options, see "Notification Descriptions" in "Configuring Email Notifications"):

 

Issues:

  • An assigned issue is added to a project you sponsor
  • An unassigned issue is added to a project you sponsor
  • An issue is added to a project you are on
  • An unassigned issue is added to a project you are on
  • An assigned issue is added to a project you own
  • An unassigned issue is added to a project you own
  • You add an issue to a project and you are the primary contact for the issue

Projects:

  • You are added to a project
  • One of your people is added to a project

The notification emails have been updated with a new look and feel and now include the following additional information:

  • Other members of the team

  • Portfolio Name
  • Object name where the document was uploaded

The following email notification messages were updated in previous releases:

  • You are set as the sponsor of a project
  • Documents are uploaded or changed on requests you are assigned to
  • A document is changed or uploaded on an issue for which you are the primary contact 
  • A document is added to a project you sponsor
  • A document is added to a project you own
  • A document is added to a project you are on

Clarified Interface Text for Requiring Time Approval for Projects

When editing a project, the option Approve Project Time has been changed to Require time to be approved for this project.

 

The functionality for this option has not changed. This option allows you to configure the project to require hours to be approved by the project manager. When configured in this way, hours must be approved by the project manager in order for the hours to be eligible to be used on a billing record.

File Names Cannot Contain Certain Characters

Files that are uploaded to Workfront cannot contain certain characters in file names. If a file contains any of the following characters in the file name, the characters are removed from the file name when the file is uploaded:

Files that already exist in the Workfront system that contain these characters in file names will not be modified.

Email Digest for Notifications about Projects I Own

Now you can limit the number of email notifications you receive from Workfront by subscribing to daily digest email notifications.

 

At this time, you can subscribe to receive a daily digest email notification regarding any notifications available in the following notification category: Email Digest for Notifications about Projects I Own. When you subscribe to receive a daily digest for any notifications in this category, you receive a single email notification each day that includes information about each notification option you select in the category.

 

Prior to this change, only individual email notifications were available to receive.  

 

Email Digest for Notifications about Projects I Own is one of 9 categories of email notifications you can subscribe to. The remaining 8 categories will be updated with daily digest capabilities in the future.

More Intuitive Way to View a Project in an Agile View

A new button is now available on projects that changes the view of the project to an agile view.

 

Prior to this change, the way to change the project view to an agile view was to select Agile in the View drop-down menu on the project.

Exported Chart Reports Include Additional Information

When you export a chart report to PDF, the exported file now includes the following additional information:

  • A title
    The title in the exported PDF is the name of the report.
    Prior to this change, a title was not included in the exported PDF.
  • A unique file name
    The file name of the exported PDF is the name of the report.
    Prior to this change, a generic file name was used for all exported chart reports.
  • A footer with the date and time the report was exported and the page number
    Prior to this change, this information was not available in the exported PDF.

Breadcrumb Option to Return to the Dashboard after Clicking a Report

After clicking a report from a dashboard or a custom tab, there is now a breadcrumb navigation link on the report that allows you to easily navigate back to the dashboard or custom tab.

Manage User Allocations with Resource Contouring

Now when scheduling resources with the new resource scheduling tools, you can determine how the planned hours for a task or issue are allocated to users. You can divide hours across days in the task duration and among assigned users.

Updated Calendar in the My Work Area

The calendar in the My Work area has been updated with the following changes:

  • Updated look and feel
  • Expand tasks or issues to view more details directly from the My Work page.
    Prior to this change, you had to navigate to the details page of the task or issue to view more details.
  • A 14-day period (including weekends) is displayed on the calendar.
    Prior to this change, only a five-day period was displayed, and weekends were excluded.
  • Task and issue duration is visually represented on the calendar (tasks and issues span the number of days equal to the duration).
    Prior to this change, tasks and issues were displayed on the start date and did not visually span multiple days on the calendar.
  • The project where the task or issue resides is visually represented by color. Each project is assigned a color; any tasks from a single project are displayed in the same color.
  • Time off is represented on the calendar with a gray indicator.
    Prior to this change, time off was not represented on the calendar.
    [! How this appears might change, so I'm leaving this a little vague. Hopefully this will change so the date at the top is dimmed.]
  • Completed tasks are removed from the calendar
    Prior to this change, tasks were dimmed.
  • Any tasks or issues assigned to you that are not yet complete are displayed on the calendar. (This does not include work assigned to a team you are a member of.)
    Prior to this change, tasks were displayed on your calendar when they were assigned to you and only after you had specified a commit date.
  • Adjust the dates displayed on the calendar by dragging to the desired date.
    Prior to this change, you had to use the forward and back arrows to adjust the visible dates.

Manually Synchronize Data in the Agile Burndown Chart

Now you can manually synchronize data in an agile project or iteration to ensure that data in the burndown chart is accurate.

Project-Specific Hour Types Now Honor Settings Made at the User Level

Whether project-specific hour types are available for users depends on settings made at the system, project, and user levels.

 

Previously, any selections made at the user level were not honored, and did not affect whether project-specific hour types were displayed. 

 

Hour Types are now shown on a project timesheet only when each hour type is:

  • Selected on the project
  • Selected on the user's profile

Prior to this change, project-specific hour types were shown regardless of what was selected at the user level.

View and Manage Resourcing Assignments on the Scheduling Timeline

Now you can see all tasks on projects for which you are the Resource Manager, enabling you to be more informed when making scheduling decisions.

 

For general information about the tools available for scheduling resources, see "Viewing Resource Assignments."

 

To adjust the information that is displayed on the scheduling timeline, create a filter, as described in "Filtering Content When Scheduling Resources."

 

In addition to viewing tasks on the projects you are responsible for, you can use the scheduling timeline to make changes to resourcing assignments. For information about how to manage user assignments on the scheduling timeline, see "Managing User Assignments."

Updated Project, Task, and Issue Approvals

NOTE This functionality was previously available in the Preview environment, but has since been removed. It will be re-introduced to Preview early in 2017 with some key functionality changes.

 

Now creating an approval process is more straightforward, as follows:

  • Multiple approval processes can be associated with a single object.
    Prior to this change, only a single approval processes could be associated with an object.
  • Approval paths have been replaced with multiple approval processes.
    Rather than creating one, complex approval process with multiple approval paths, you now create multiple approval processes and associate them with the same object.

    If you have approval processes with multiple paths, the single process will be divided into multiple processes.
  • You can now have multiple types of approvers per stage.

Reorder Columns in Any List with Drag-and-Drop

You can change the order of columns in any list by dragging a column from one location and dropping it in another.

 

This is especially useful when viewing the Gantt chart and the list view simultaneously and the column that you want to view is not displayed on the left side of the page.

Control Access to Custom Forms [! i6?]

You can now control who has access to a custom form by granting access to individual users, teams, roles, groups, or companies.

 

Prior to this change, you could grant access only to groups.

Preview Sandbox

The Preview Sandbox (PrS) is available to all system administrators and any other users as defined by the system administrator. (For more information about the Preview Sandbox, see "Preview Sandbox Testing Environment.") This is the first opportunity that users in your organization have to review a feature before it is made available to Early Access environments and then made generally available.

Early Access

The Early Access (EA) environment is available to all system administrators and any other users as defined by the system administrator. (For information about how to configure Early Access settings, see "Configuring System Preferences.") Most features made available in Early Access were previously available in the Preview Sandbox.

* Indicates a lengthened EA release cycle in order to provide you with more time to become familiar with the feature.

General Availability

General Availability (GA) is when features are available to all Workfront users. Neither system administrators nor users can opt out of features in General Availability. Most features made generally available were previously available in the Preview Sandbox and Early Access environments.
