Mobile Improvements

The following improvements are available in the mobile app:

  • Timesheet Improvements:
    • Access your open, submitted, and rejected timesheets to review total hours.
    • Review and edit time on tasks and issues that already have time logged against them from a timesheet.
    • Log general hours on a timesheet.
    • Log updates on timesheets.
    • Submit timesheets for approval.
  • Pull to Refresh: Refresh data in any of the following lists by pulling down at the top of the list:
    • Notifications
    • Work
    • Approvals
    • Timesheets

Checking In and Checking Out Documents

The ability to check in and check out documents was removed from Workfront in September.

 

This functionality is once again available in Workfront, along with all pre-existing API endpoints and reporting data, with the following improvements:

  • A lock icon is always displayed on a checked-out document.
    In the previous version of the check-out functionality, a lock icon was displayed only when mousing over a checked-out document.
  • When you have a checked-out document on a project or task and you attempt to delete the project or task, you are prompted to check-in the checked-out document before the deletion can occur.

Improved Method for Mapping Metadata from Workfront to Workfront DAM

The method for mapping metadata from Workfront to Workfront DAM is now more straightforward.

 

A field picker is now available, allowing you to easily locate the Workfront field that you want to map, as well as the Workfront DAM field that you want the Workfront field to map to.

 

Prior to this change, you had to specify the correct, case-sensitive Text Mode syntax for each Workfront field and Workfront DAM field.

Security Enhancement for SAML 2.0 for Office 365 Add-Ins

If your environment is using SAML 2.0, there is a new security feature that must be enabled in order for users to be able to log in to Workfront through Outlook for Office 365 using their SAML 2.0 credentials. This affects only customers who are currently logging in to Workfront via SAML 2.0. No other single sign-on solutions are affected by this feature.

Access ProofHQ Directly from the Workfront Interface

Now you can seamlessly access your ProofHQ Premium account directly from the Workfront interface.

This option is available only when your Workfront environment is integrated with a ProofHQ Premium account. User Swap Tool and Filter Include Users with a Review License

In the resource scheduling area, the user swap tool and the filter now enable you to make resourcing changes for users with a Review license in addition to users with Plan and Work licenses.

 

Previously, you could make resourcing changes only for users with a Plan and Work license.

Visual Separation on the Filter Tab in the Scheduling Area

On the Filter tab when scheduling resources, there are now lines to visually distinguish between the filter options that determine which projects are displayed and those that determine which users are displayed.

Minimize Tasks and Issues by Role on the Scheduling Timeline

Now you can minimize all tasks and issues on the scheduling timeline that are assigned to all users within a specific role.

 

Prior to this change, you could minimize tasks and issues only that were assigned to individual users, or you could minimize all tasks and issues on the scheduling timeline.

New Settings Area for Resource Scheduling Options

The following options were moved from the Filter tab when scheduling resources to a new Settings area:

  • Include Issues: Option to determine whether issues are included on the scheduling timeline.
  • Show Daily Totals: Option to determine whether daily totals for user allocations are displayed as a numerical value on the scheduling timeline.

Show Completed Work on the Scheduling Timeline

Now you can configure the scheduling timeline to show tasks and issues that are marked as Complete. 

 

Prior to this change, tasks and issues that were marked as Complete could not be seen on the scheduling timeline.

Updated Options for Adjusting the Date Range of the Scheduling Timeline

The following improvements are now available when adjusting the date range that is displayed on the scheduling timeline:

  • When clicking the date range to view the calendar, the selected date range is highlighted in the calendar, allowing you to more clearly see what is selected.
  • When clicking the date range to view the calendar, there are now options to display a 1-week, 2-week, and 3-week date range.
    Prior to this change, there was a Plus icon and a Minus icon that also displayed a 1-week, 2-week, or 3-week date range.
  • A new "Today" button was added to allow you to easily return the scheduling timeline to the current day.
  • New back and forward arrows were added to allow you to quickly view past and future dates on the scheduling timeline.

User Allocation Shading Is Disabled by Default

User allocation shading on the scheduling timeline when scheduling resources is now disabled by default.

 

Previously, allocation shading was displayed by default and could not be disabled.

User Calendar Enhancements in the My Work Area

Layout Template Determines Whether the New or Legacy Calendar Displays in the My Work Area

The legacy calendar is displayed in the My Work area in either of the following circumstances:

  • No layout template is applied to the My Work area.
  • The layout template that is applied to the My Work area is configured to show only the Commit Date on tasks and issues.

When using the legacy calendar in the My Work area, only work you have committed to is displayed.

  

To configure Workfront to display the new calendar in the My Work area, configure a layout template to show the Planned Completion Date on tasks and issues, then assign that layout template to the appropriate users.

Email Digest for Notifications about Projects I Own

Now you can limit the number of email notifications you receive from Workfront by subscribing to daily digest email notifications.

 

At this time, you can subscribe to receive a daily digest email notification regarding any notifications available in the following notification category: Email Digest for Notifications about Projects I Own. When you subscribe to receive a daily digest for any notifications in this category, you receive a single email notification each day that includes information about each notification option you select in the category.

 

Prior to this change, only individual email notifications were available to receive.  

 

Email Digest for Notifications about Projects I Own is one of 9 categories of email notifications you can subscribe to. The remaining 8 categories will be updated with daily digest capabilities in the future.

View and Manage Resourcing Assignments on the Scheduling Timeline

Now you can see all tasks on projects for which you are the Resource Manager, enabling you to be more informed when making scheduling decisions.

 

For general information about the tools available for scheduling resources, see "Getting Started with Resource Scheduling."

 

To adjust the information that is displayed on the scheduling timeline, create a filter, as described in "Filtering Content When Scheduling Resources."

 

In addition to viewing tasks on the projects you are responsible for, you can use the scheduling timeline to make changes to resourcing assignments. For information about how to manage user assignments on the scheduling timeline, see "Managing User Assignments."

More Intuitive Way to View a Project in an Agile View

A new button is now available on projects that changes the view of the project to an agile view.

 

Prior to this change, the way to change the project view to an agile view was to select Agile in the View drop-down menu on the project.

Exported Chart Reports Include Additional Information

When you export a chart report to PDF, the exported file now includes the following additional information:

  • A title
    The title in the exported PDF is the name of the report.
    Prior to this change, a title was not included in the exported PDF.
  • A unique file name
    The file name of the exported PDF is the name of the report.
    Prior to this change, a generic file name was used for all exported chart reports.
  • A footer with the date and time the report was exported and the page number
    Prior to this change, this information was not available in the exported PDF.

Breadcrumb Option to Return to the Dashboard after Clicking a Report After clicking a report from a dashboard or a custom tab, there is now a breadcrumb navigation link on the report that allows you to easily navigate back to the dashboard or custom tab.

Manage User Allocations on the Scheduling Timeline

Now when scheduling resources with the new resource scheduling tools, you can determine how the planned hours for a task or issue are allocated to users. You can divide hours across days in the task duration and among assigned users.

Updated Calendar in the My Work Area

The calendar in the My Work area has been updated with the following changes:

  • Updated look and feel
  • Expand tasks or issues to view more details directly from the My Work page.
    Prior to this change, you had to navigate to the details page of the task or issue to view more details.
  • A 14-day period (including weekends) is displayed on the calendar.
    Prior to this change, only a five-day period was displayed, and weekends were excluded.
  • Task and issue duration is visually represented on the calendar (tasks and issues span the number of days equal to the duration).
    Prior to this change, tasks and issues were displayed on the start date and did not visually span multiple days on the calendar.
  • The project where the task or issue resides is visually represented by color. Each project is assigned a color; any tasks from a single project are displayed in the same color.
  • Time off is represented on the calendar with a gray indicator.
    Prior to this change, time off was not represented on the calendar.
    [! How this appears might change, so I'm leaving this a little vague. Hopefully this will change so the date at the top is dimmed.]
  • Completed tasks are removed from the calendar
    Prior to this change, tasks were dimmed.
  • Any tasks or issues assigned to you that are not yet complete are displayed on the calendar. (This does not include work assigned to a team you are a member of.)
    Prior to this change, tasks were displayed on your calendar when they were assigned to you and only after you had specified a commit date.
  • Adjust the dates displayed on the calendar by dragging to the desired date.
    Prior to this change, you had to use the forward and back arrows to adjust the visible dates.

Reorder Columns in Any List with Drag-and-Drop

You can change the order of columns in any list by dragging a column from one location and dropping it in another.

 

This is especially useful when viewing the Gantt chart and the list view simultaneously and the column that you want to view is not displayed on the left side of the page.

You can now control who has access to a custom form by granting access to individual users, teams, roles, groups, or companies.

Preview Sandbox

The Preview Sandbox (PrS) is available to all system administrators and any other users as defined by the system administrator. (For more information about the Preview Sandbox, see "Preview Sandbox Testing Environment.") This is the first opportunity that users in your organization have to review a feature before it is made available to Early Access environments and then made generally available.

Early Access

The Early Access (EA) environment is available to all system administrators and any other users as defined by the system administrator. (For information about how to configure Early Access settings, see "Configuring System Preferences.") Most features made available in Early Access were previously available in the Preview Sandbox.

* Indicates a lengthened EA release cycle in order to provide you with more time to become familiar with the feature.

General Availability

General Availability (GA) is when features are available to all Workfront users. Neither system administrators nor users can opt out of features in General Availability. Most features made generally available were previously available in the Preview Sandbox and Early Access environments.
