Transferring Custom Form Data from Issues and Tasks to Tasks or Projects During Converting Them

Depending on the business needs of your organization, the work defined in a task or an issue might become too large to manage it within the task or the issue. In this case, you can convert them to a larger work item. 

You can convert the following items in Workfront:

You must have Contribute permissions to an issue or task in order to be able to convert it. 
You must have Contribute permissions to a project, and access to add tasks to it, to be able to convert an issue to a task and add it to that project.

You must have Create access in your Access Level for tasks to be able to convert issues to tasks. 
You must have Create access in your Access Level for projects to be able to convert issues and tasks to projects.

Copying a Custom Form

When you convert an item to another item you can transfer the custom data included on the first item to the item you are converting it to. You will need to ensure that the data fields from the custom form of the first object exist on a custom form that is attached to the new object. To do this, you must copy the custom form for the original object and save it as a custom form for the new type of object.

You must be a system administrator or have a Plan license to be able to copy custom forms.

Copying custom forms from one object to another is identical for all objects. 

To copy a custom form for an issue and save it as a custom form for a task:

  1. Navigate to the Setup area of your Global Navigation Bar.
  2. Click Custom Forms.
  3. Select an Issue custom form, then click Copy.
    The Custom Form Copy dialog box opens.
  4. Specify a name for the new form.
    By default, the name of the new form is <Original Form Name> (Copy).

  5. From the Form Type drop-down menu, select the object for which you want to create the new custom form. 
  6. Click Copy Form.
    This creates an identical copy of the Issue custom form. This new custom form can now be attached to a Task. 

Transferring Custom Form Data from Issues to Tasks when Converting Issues to Tasks

Transferring custom form data from issues to tasks is identical with transferring custom form data from issues to projects, or from tasks to projects.

To transfer custom form data from an issue to a task as you are converting the issue:

  1. Navigate to the issue you want to convert to a task. 
    For more information about converting issues, see "Converting Issues."
  2. Expand Issue Actions, then select Convert to Task.
    The Convert to Task dialog box opens.
  3. Click Custom Forms, then add the form you created for a Task from copying it from an Issue custom form in the Add Forms drop-down menu.

    The information captured in the custom fields of the issue is now transferred to the custom form on the task.
  4. Click Save Changes
