Using the Home Calendar View

You can use the Calendar view in the Home area to manage your workday and work assignments. Only you can view and manage your Home Calendar.

This is different from a Workfront Calendar, which is a dynamic report that provides a visual representation of your work (see "Working with Calendars").

Navigating to a Different Week in the Home Calendar

  1. Navigate to your Home Calendar view, as explained in "Viewing the Workfront Home Calendar".
  2. On the Calendar toolbar, click the left arrow of the date indicator to move the calendar view back one week or the right arrow to move forward one week.

    You can click Today to return to the current week.

Displaying Events from Integrated Calendars

You can add events from outside calendars to your Home Calendar. Currently, you can integrate the following calendars with your Calendar view:

  • Outlook Calendar: You can integrate with a cloud-hosted Office 365 calendar or an Outlook Live version of an Outlook calendar.

  • Workfront Personal Time Off  (PTO) Calendar: You can integrate with your Workfront personal Time Off calendar.

To display events from integrated calendars:

  1. Navigate to your Home Calendar view, as explained in "Viewing the Workfront Home Calendar."
  2. Click Manage Calendars, then in the drop-down menu select the calendars you want to be displayed.

  3. Click anywhere on the Calendar to close the drop-down menu.

To update the integrated calendar events in your Home Calendar:

  1. Click Refresh in the upper right corner of the Home Calendar.

    Integrated calendar events automatically update when you open your Home Calendar view or when you refresh your Home Calendar.

To hide events from an integrated calendar:

  1. Click Manage Calendars in the upper right corner of the Home Calendar, then deselect the calendar you want to hide.
  2. Click anywhere on the Calendar to close the drop-down menu.

Filtering and Sorting Work Items in the Calendar View

 You can filter and sort the work items displayed in the left panel.

  1. Navigate to the Home Calendar view.
    For information about accessing the Home Calendar view, see "Viewing the Workfront Home Calendar."
  2. To filter your list of work, click the Filter drop-down menu.

  3. Select from the various options to specify the types of items you want to be displayed.
    TIP Some options are based on objects (Tasks, Requests, Issues, Approvals, Proofs, and Personal), and others are based on status (Working On, Ready to Start, Not Ready, and Completed). If no status is selected, all selected objects of any status are displayed. Similarly, if no object is selected, all objects of any selected statuses are displayed.
    All: All item types are displayed. This includes tasks, requests, issues, approvals, and personal tasks.
    Tasks: Only Workfront tasks are displayed.
    Requests: Only work items you have been requested to work on are displayed.
    Issues: Only issues you are currently working on are displayed. The Issue icon is displayed next to each issue in the Work List.

    Approvals: Only work items that require your approval are displayed.

    Personal: 
    Only personal tasks are displayed. These are tasks that you create as a To Do task, as described in "Creating a Personal Task" in "Creating Ad Hoc Work Items from the Home Area."
    Working On: Only tasks and issues you are currently working on are displayed.
    Ready to Start: Only items that are ready to start are displayed. These items have no predecessors or task constraints preventing them from being worked on, and the Start Date is in the past or is the current date. 
    Not Ready: Only requests that are not yet ready to start are displayed. These requests might have predecessors or task constraints that prevent them from being worked on, or the Start Date might be in the future. 
    Completed: Only completed work is displayed.
  4. To sort your list of work, click the Sort by drop-down menu, then select from the desired sort criteria.

    You can choose from the following sort criteria:
    Planned Completion: Tasks and issues sorted in order of the Planned Completion dates. To learn more about Planned Completion dates, see "Understanding Planned Hours."
    Commit Date: Tasks and issues sorted in order of the Commit dates. To learn more about Commit dates, see "Understanding Commit Dates."
    Project: Work items sorted by project.

Scheduling Work Items in Your Home Calendar

You can use the Home Calendar to view your workday and to schedule work items for your week.

NOTE Modifications done to a work item listed in the Calendar view do not change the existing attributes or dates associated with the actual work item. 

To add a Workfront work item to your calendar:

  1. Navigate to the Home Calendar view.
    For information about accessing the Home Calendar view, see "Viewing the Workfront Home Calendar."
    All the work items assigned to you or to groups, teams, or job roles to which you are assigned display in the left panel. You can filter and sort your list of work to display only those items you are interested.

  2. From the left panel, select a work item you want to move to your calendar.
  3. Drag and drop the item in the desired day and time.
    If you schedule yourself to work on an item after its planned completion date, the work item displays in red and a warning appears indicating the time block you have selected is past the due date for the item.
    Additionally, if you schedule a work item for more time than its planned hours, the work item displays in red and a warning appears indicating the number of hours you have scheduled for the work item exceeds the number of planned hours assigned to the item.
    To learn about work item due dates and how they affect allocated time in the Home Calendar, see the "Understanding the Allocation of Time" section in "Understanding the Home Calendar View."
  4. Do any of the following:
    • To schedule a work item for multiple days: Repeat Step 3 until you have fully scheduled the item.
    • To modify the duration of a calendar item: Mouse over the bottom edge of the item until the cursor becomes a double arrow, then drag the bottom edge to the desired ending time.
    • To delete a calendar item: Mouse over the item, then click the trashcan icon that is displayed.
