With the 18.2 release, the Outlook Add-In previously available for Workfront will no longer be available.

Can I turn the self-scheduler off so it’s just a view for workers?

Not at this time.

Is the Calendar an organizational tool for the user versus a tool that would allow workers to change dates to tasks, issues, etc.?

Workfront 2018.2 Release Webinar - Part 2

This webinar was presented on June 20, 2018.

The webinar focused on improvements in following areas:

  • Administrator enhancements
  • Mobile enhancements
  • Proofing enhancements
  • Salesforce and Slack integrations

Webinar Q&A

Administrator

Can I export the Audit Logs?

Not at this time, but we plan to add exporting in 18.3.

Can Audit Logs track changes to the Project Status?

Not at this time, but you can track changes to Project Status in the Updates tab.

Where can I view a list of actions that trigger an Audit Log?

You can find that information in “Viewing Audit Logs.”

If you add groups to the new Licenses page, do they show up for all system administrators?

Yes. Any groups added to the new Licenses page will show up for all system administrators, not just the system administrator who added them.

If I set a Plan license maximum for a group, will I get an error when I try to add a new person with a Plan license to that group?

Yes. The system will notify you that you’ve reached the maximum limit for that group.

Mobile

We do not have system administrators with Android phones on our team. Can basic users participate in the beta test?

Yes. Any user can participate in the Android beta. We also plan to have an iOS beta in 18.3.

Can I see custom dashboards on the mobile app?

Not at this time, but it is planned for a future release.

Do you plan to add text wrap for Timesheets on the iOS app?

We plan to add a landscape view to correct this issue.

If you upload a Document on a mobile device, will it automatically generate a proof?

No, it will not automatically generate a proof.

Are the graphs available in Workfront View going to be deployed in Workfront Mobile?

Yes, we are working on creating parity between both apps. This is in our roadmap for future releases.

Can you link docs in Box from mobile?

Not at this time.

Proofing

Why do I need to move to the Web Proofing Viewer now? Why can’t I stay on the Legacy Proofing Viewer?

The Legacy Proofing Viewer relies on Flash. Due to security concerns, we’re removing Flash from Workfront in 2018.3. It is important to make the switch to the Web Proofing Viewer now to avoid any issues with this change.

Where can I configure which proofing viewers are used for my organization?

See "Configuring Whether Users Can Access the Web Proofing Viewer" and "Configuring Whether Users Can Access the Desktop Proofing Viewer."

Will the Web Proofing Viewer have the same functionality as the Legacy Proofing Viewer viewer?

Some functionality will be the same, some will be different. Please see “Understanding Differences between the Various Proofing Viewers” for more information.

Do you plan to add interactive proofing to the Web Proofing Viewer?

Not at this time. We’re unable to support protected websites in the Web Proofing Viewer.

Can I make the Desktop Proofing Viewer default for everyone in my system?

You can make the Desktop Proofing Viewer the default for all users in your system for interactive proofs. For more information, see "Configuring Whether Users Can Access the Desktop Proofing Viewer." Individual users can then configure whether the Desktop Proofing Viewer is used for static and video proofs.

How can I make sure everyone in my system is off of the Legacy Proofing Viewer?

As a system administrator, you can force all users to the Web Proofing Viewer from the Account Settings in Workfront Proof. See "Configuring Whether Users Can Access the WebNew Proofing Viewer" for more information.

Do you plan to release the 32-bit version of the Desktop Viewer before the Legacy Proofing Viewer is deprecated?

Yes. The 32-bit version is almost ready.

Which operating systems support the Desktop Proofing Viewer?

The Desktop Proofing Viewer is supported on Windows and Mac.

My organization doesn’t proof interactive content. Do I still need to install the Desktop Proofing Viewer?

No. If you do not proof interactive content, you can use the Web Proofing Viewer to review static and video content. The Desktop Proofing Viewer is for organizations that need to proof interactive content, including iframe protected websites and HTTP (unsecured) websites.

For more information, see “Understanding Differences between the Various Proofing Viewers.”

My organization does not allow users to install applications. Is there a way to get around this with the Desktop Proofing Viewer?

Unfortunately not. You need to work with your IT department to install the Desktop Proofing Viewer.

Do I need admin privileges to use either the Web Proofing Viewer or the Desktop Proofing Viewer?

No.

If we send an interactive proof to an external client, will it prompt them to download the Desktop Proofing Viewer?

Yes, the external client will need to download the Desktop Proofing Viewer to view the proof.

Can a Group Administrator add devices to the Desktop Proofing Viewer?

No. Only system administrators can add devices.

Can you make a decision in the Desktop Proofing Viewer?

Yes, you can if you are an approver.

Do you plan to add a link back to the project in the Desktop Proofing Viewer?

Yes, this is on our roadmap.

Can I pull back an approval after it has been sent?

You can remove the recipient from the proof on the Proof Details page.

Do Document approvals and Proof approvals have the same Approve/Reject buttons?

No, they are separate.

Do you plan to move the proofing user notifications to Workfront instead of Workfront Proof?

Yes, this is on our roadmap.

Can I remove a proof so it’s just a document?

You can turn a document into a proof, but you can’t unlink the proof from the document.

Is there a side-by-side feature comparison available to compare the two proofing viewer options?

Yes, see “Understanding Differences between the Various Proofing Viewers.”

Can I add users to an approval workflow from the Proofing Viewer?

Yes, but if you use the Automated Workflow capability, it is better to add users on the Proof Details page.

Can I turn off Share capabilities for my users?

No.

Can I tag a user if they haven’t opened the proof?

You can as long as they’re listed on the proof.

Can a basic user enable the “Use expanded markup tools” setting?

Yes.

Can users with a Plan license use Workfront Proof automatically?

No, it is not automatically enabled at this time. Users must have the “User can generate proofs” in their User Profile.

How can I find out which Proofing Viewer is being used in my instance?

The system administrator specifies in Account Settings in Workfront Proof which proofing viewer is used by default for the organization. For more information, see "Configuring Whether Users Can Access the New Proofing Viewer" and "Configuring Whether Users Can Access the Desktop Proofing Viewer."

Do you plan to allow the Desktop Proofing Viewer to proof non-public websites in staging?

Yes, we have this on the roadmap for 18.3.

Are documents and proofs the same thing?

No. Documents and proofs are two different objects in Workfront. A document can be stand-alone or it can contain a proof. We refer to a "document" when we are talking about the document, and we refer to a "proof" when we are talking about the proof.

When you approve a proof from the Proofing Viewer, does it automatically mark the task as 100% complete at the project level?

No, the approval made on the Proof will not update the percent complete of the task, and therefore will not drive the completion of the Project.

Does the Desktop Proofing Viewer have autocompare or simultaneous navigation?

The Desktop Proofing Viewer does not have autocompare or Simultaneous Navigation for interactive proofs. If you use the Desktop Proofing Viewer to proof static and video content, it will have autocomplete and simultaneous navigation.

Can I select the role of the user when I share a proof via email?

You can if the user is not assigned to the proof.

Integrations

How is the Salesforce integration different from Workfront Fusion?

The Salesforce integration is free and is exclusive to Salesforce.

Can I configure Salesforce to allow only requests?

Yes. Don’t configure triggers for the projects to be created.

The Projects tab will still show up for the sales representative, but it will be empty.

Where can I find more information about setting up Slack channels that post updates directly to specific projects?

You will be able to post updated to specific projects with the new enhancements for Slack. For all the information about Slack, see “Using Workfront with Slack.”

When will the Outlook Add-In be deprecated?

The Desktop will be deprecated with 18.2. For more information, see “Microsoft Outlook Support is Ending.”

Will the Salesforce Integration work as long as an account exists in Salesforce?

The integration works as long as the Salesforce system administrator (who has a Salesforce account) configures triggers for creating projects from Salesforce to Workfront.

Is the Salesforce stage is still a lead, not opportunity? To clarify, does it have to be opportunity stage in Salesforce or can it be an account only with no opportunity stage associated?

You can configure that a stage of an Opportunity, a product added to an Opportunity,  or a status of Account can automatically create a project in Workfront. The Opportunity and the Account can be unrelated to each other. The Salesforce user that updates the stage of an Opportunity or the status of an Account defined as triggers does not have to have a Workfront account to be able to generate the project in Workfront. Only Opportunities and Accounts can be used as triggers, no other objects can.
