Managing Workfront Notifications and Approval Requests in Microsoft Teams

You can receive notifications from Workfront about work that is assigned to you and documents that you must approve.

These notifications contain actions that you can take within Microsoft Teams without navigating away to Workfront to accomplish them.

Prerequisites for Receiving Workfront Notifications in Microsoft Teams

You can receive Workfront notifications in Microsoft Teams if the following conditions are met:

  • A team owner has installed and configured Workfront for Microsoft Teams for your team.
  • You are logged into Workfront from Microsoft Teams.

Managing Workfront Notifications in Microsoft Teams

When the Workfront for Microsoft Teams app is installed, a Workfront chat channel is created in Microsoft Teams for every member of that team. When an certain action is performed in Workfront, you can configure the settings for Workfront for Microsoft Teams to receive notifications about that action in the Workfront chat channel of Microsoft Teams.

Consider the following when working with Workfront notifications from Microsoft Teams:

  • You cannot receive all, but only a select number of Workfront notifications in Microsoft Teams.
  • All notifications you receive from Workfront appear in the Workfront bot chat channel.
    For information installing the Workfront bot channel, see the "Logging in to Workfront from Microsoft Teams" section in "Installing Workfront for Microsoft Teams" article.
  • There can be up to a 5 minute delay between the time when an update is made in Workfront and when you receive the notification about it in Microsoft Teams.

To manage the Workfront notifications that you can receive in Microsoft Teams:

    1. Click the More added apps icon on the left navigation bar in Microsoft Teams.

    2. Click Workfront in the list that appears.
    3. Select the Settings tab.

    4. Disable any of the following notifications that you do not want to receive:
      • I'm assigned to a new task or issue
      • My team is assigned to a new task or issue
      • I receive a new approval or access request
      • Someone includes me on a directed update
      • Someone comments on a thread I'm in
      • An update is made to a task, issue or project I am subscribed to
      • Someone comments on one of my work items
      • A comment is posted on my request
      All notifications are enabled by default.
      The notifications settings for Workfront for Microsoft Teams are saved automatically.
      NOTE 
      You cannot add more notifications to the ones that are available by default. 

Responding to Workfront Notifications and Approval Requests in Microsoft Teams

  1. Log in to Workfront from Microsoft Teams. 
    For information about logging in to Workfront, see "Installing Workfront for Microsoft Teams."
  2. Go to the Chat area and click the Workfront bot channel.

    This channel is for your personal chat with the Workfront bot and it is your way of accessing Workfront from Microsoft Teams. All Workfront notifications display here.
  3. Depending on what type of notification you receive, select from the following options:
    • If you are notified that you have been assigned to a new issue or task, select from the following options:
      • Work on it: Select this option to commit to work on the item and to add it to your work list.
      • View in Workfront: Select this option to view the assigned issue or task in Workfront, which opens a new tab.

    • If you are notified that you have been asked to approve a document, select from the following options:
      • Approve: Select this option to approve the document.
      • Reject: Select this option to reject the document.
      • View in Workfront: Select this option to open the document in Workfront, which opens in a new tab.
        A preview of the document is included in the message in a thumbnail.

    • If you are notified that someone requests more access for an item, select from the following options:
      • Grant: Select this option to allow the requestor access to the item.
      • Ignore: Select this option to disregard the request.
      • View in Workfront: Select this option to view the request in Workfront which opens in a new tab.

    • If you are notified that someone comments on your item, or that someone includes you in an update, select from the following options:
      • Reply: Select this option to reply to the comment in Microsoft Teams.
        You receive a confirmation that your reply was sent to Workfront.
      • View in Workfront: Select this option to view the comment and the item in Workfront, which opens in a new tab.
